Your Role

As an employee of Offshore Launch, you are being hired for a unique role within a target Client’s company. We value long-term partnerships, and seek to recruit talent that will serve an individual Client’s business for multiple years.

You will work full-time with the Client company. However, the Agency provides ongoing support to ensure your continued success. As such, we create space for ongoing check-ins, feedback and development through:

  • Membership in the Offshore Launch Slack workspace
  • Bi-weekly All Team meetings
  • Monthly reviews

About the Client

The client is a mission-driven company that designs and sells innovative mobile cooking solutions used by schools, libraries, hospitals, food banks, and community organizations across the United States. Our focus is on getting kids excited about real food through hands-on, practical cooking experiences. We are looking for an experienced Executive Assistant to support the Founder by managing their calendar and communications, coordinating logistics, and enhancing operational efficiency as we enter a critical growth phase.

Responsibilities

  • Own and manage the Founder’s calendar, including daily priorities, meetings, and reminders.
  • Act as gatekeeper and triage the Founder’s inbox to prioritize high-priority items.
  • Coordinate invoicing follow-ups and ensure invoices are tracked and paid on time.
  • Manage customer communications post-sale, including shipping updates and check-ins.
  • Handle customer service coordination for issues like missing items and shipment problems.
  • Prepare and send templated communications related to orders and support.
  • Coordinate logistics for conferences, including travel and exhibitor requirements.
  • Document and organize processes, SOPs, and shared files for improved clarity.

Requirements

  • Proven experience as an Executive Assistant or high-level Virtual Assistant supporting a founder or executive.
  • Strong critical thinking skills and ability to work independently.
  • High level of technical comfort with Google Workspace and related tools.
  • Excellent written communication skills for customer-facing and internal messages.
  • Highly organized with strong follow-through and attention to detail.
  • Comfort in creating and maintaining SOPs and processes.
  • Ability to manage multiple priorities without constant direction.
  • Professional demeanor and confidence working in a fast-paced environment.

Compensation & Benefits (to be provided by Offshore Launch)

  • Up to $1450, depending on experience
  • 13th month pay
  • Up to 150% of one month's salary contingent on quarterly performance scores.
  • Comprehensive HMO policy, including dependents.
