The Role:

We are searching for a highly skilled and motivated Mid-Level Delivery Coordinator to join our world-leading creative agency. Your role will be crucial in ensuring the smooth and effective execution of projects from client briefing to final asset delivery. As a Mid-Level Delivery Coordinator your responsibilities will encompass several key areas. First and foremost, you will act as the essential link between various disciplines, leveraging your expertise to bring together the right resources from multiple agencies. Your goal will be to ensure the successful delivery of projects, and you will demonstrate your mastery in effective project setup, budget and resource control, project management, and reporting.

To excel in this role, you should have first-hand experience managing projects across diverse mediums such as TV/video, offline (KVs & print), digital, social, and influencer campaigns. Your ability to focus on both the minutiae of projects while maintaining a broader perspective will be essential. Building strong relationships with the project team, the commercial team, and the PMO Lead will be a priority, as will your commitment to creating an environment that fosters collaboration and excellence.

Your expertise in project management will extend to managing, scheduling, and delivering projects. You should bring experience and an understanding of working on integrated accounts, enabling you to develop a comprehensive understanding of the client's remuneration and commercial model. Maintaining a vigilant eye on the financial status of projects and proactively addressing any concerns related to resource overspend will be critical. Furthermore, your ability to manage schedules, adhere to agreed-upon scope, timings, and budget, and identify and mitigate potential risks will be vital to project success.

Your attention to detail and commitment to excellence will be evident in all documentation, costings, briefs, scopes, and presentations. Additionally, your positive attitude and solution-oriented mindset will contribute to creating a constructive and collaborative team environment. Recognizing and capitalizing on digital opportunities within project briefs will be an advantage.

In this role, effective communication and collaboration will be key. You will be responsible for scheduling meetings, ensuring the involvement of all relevant team members. It will also be your duty to oversee the review and approval of work before sharing it with the client. Managing resource allocation and keeping the resource manager and PMO lead informed of resource requirements will be critical to the smooth running of projects.

Key Responsibilities:

  • Act as the primary point of contact and bridge between various disciplines within the agency.
  • Ensure the smooth and effective execution of projects from client briefing to final asset delivery.
  • Demonstrate expertise in project setup, budgeting, resource control, management, and reporting.
  • Manage projects across diverse mediums, including TV/video, offline (KVs & print), digital, social, and influencer campaigns.
  • Build strong relationships with the project team, the commercial team, and the PMO Lead.
  • Develop a comprehensive understanding of the client's remuneration and commercial model.
  • Monitor project finances, forecast resource overspend, and proactively address any concerns.
  • Manage project schedules and deliverables, adhering to scope, timings, and budget.
  • Identify and mitigate potential risks that may impact project delivery.
  • Collaborate effectively with multi-agency teams to ensure seamless project execution.
  • Acquire and maintain a thorough knowledge of project tools, processes, and platforms.
  • Schedule meetings, ensuring the participation of all relevant team members.
  • Oversee the review and approval process for work before sharing it with the client.
  • Raise purchase orders (POs) for projects, if necessary.
  • Collaborate closely with the resource manager and PMO Lead to book and manage project resources.
  • Uphold the highest standards of professionalism, attention to detail, and excellence in all documentation, costings, briefs, scopes, and presentations.

Requirements:

  • Proven experience as a Project/Delivery Coordinator in a creative agency or similar environment.
  • Strong understanding of project management principles and methodologies.
  • Demonstrated ability to manage projects across various mediums, such as TV/video, offline (KVs & print), digital, social, and influencer campaigns.
  • Proficiency in effective project setup, budgeting, resource control, management, and reporting.
  • Experience working on integrated accounts and understanding the dynamics of global projects.
  • Financial acumen to understand and manage project budgets, monitor financial status, and forecast resource overspend.
  • Excellent communication and interpersonal skills to build and maintain relationships with diverse project teams.
  • Ability to collaborate effectively with multiple stakeholders, including account management, creatives, design, strategy, production, and more.
  • Strong organizational and time management skills to manage multiple work streams, schedules, and deliverables.
  • Proactive approach to identify potential risks to project delivery and implement mitigation strategies.
  • Familiarity with project tools, processes, and platforms used in the industry.
  • Experience in scheduling meetings and ensuring the participation of relevant team members.
  • Attention to detail and commitment to maintaining high-quality standards in all project documentation and deliverables.
  • Solution-oriented mindset and ability to remain positive and constructive in challenging situations.
  • Flexibility and adaptability to embrace change and innovation in a dynamic work environment.
  • Understanding of digital opportunities and trends within the creative industry.
