The Role:

As a Production and BA Assistant, you’ll help the Production Team and Business Affairs Lead drive the creative, production and businsess affairs processes on all our projects. You'll collaborate closely with all the internal teams to help execute creative ideas that resonate with our brands. Your responsibilities will revolve around managing administrative tasks, timelines, budgets, and resources to ensure on-time and within-budget project deliveries. You will need to be level-headed, hard-working, creatively driven and unflappable under challenging timeframes and budgets.

Key Responsibilities:

  • Assist in the production of a variety of creative assets, including stills, video, audio, and digital content.
  • Support the Business Affairs Lead on all aspects of legal, contracting, negotations with 3rd parties 
  • Develop an understanding of the creative production process from inception to final delivery
  • Support all aspects of the production process including essential admin and file management for both Departments
  • Fully understand the Unilever AdPro Production process, policies and guidelines, and keep up to date on any changes
  • Develop professional relationships with the Unilever AdPro RAP team
  • Provide Production and Business Affairs with finance support: uploading agency and 3rd party cost estimates to UQuote/Share with AdPro.  Request Client POs.  Issue Supplier POs and instigate payments.  Rec projects on completion
  • Research and recommend new, exciting and diverse external talent
  • Collaborate with a diverse range of Photographers, Videographers, Illustrators and creative professionals to bring innovative concepts to life
  • Support with issuing talent contracts for Business Affairs and Production and upload to 3rd party platform
  • Track and record current and historical usages
  • Support OUL team to ensure all creative work meets brand guidelines and maintains high-quality standards, valuing diverse perspectives in our creative output
  • Support the development of and amend project timelines and budgets, ensuring efficient resource allocation and cost-effectiveness
  • Own the booking of agency, production team and talent travel and accommodation.
  • Communicate thoughtfully with colleagues and clients to understand their needs and offer solutions that resonate with a wide audience
  • Efficiently manage multiple projects and workstreams simultaneously
  • Stay aware of client policies and support the team in meeting best production and business affairs practices
  • Keep abreast of industry trends and implement best practices, celebrating diversity and inclusivity in all approaches

 

Requirements:

  • Extremely well organised, a proactive planner, capable of working across multiple projects simultaneously
  • A passion for visual media
  • Excellent communication skills to foster supportive relationships with agency, freelance colleagues, clients and 3rd party suppliers
  • Understanding of how to take projects from brief, through creative development, into shoots, through post-production and to delivery
  • Understanding of business needs throughout the production process
  • Negotiation and scheduling skills
  • Expertise in budget management and financial reporting
  • Confident contributor, comfortable managing your own workload
  • Keep teams up to date across the production process across, TV, Print, Social, Digital, OOH assets
  • Flexibility to adapt to changing priorities and client needs
  • Be able to negotiate situations to ensure the best outcomes for the project, agency and client
  • Have an excellent working knowledge of Microsoft Office
  • Ability to use some project management software
  • Passion to develop knowledge of the industry, great creative solutions and best practices within Production
