Are you an exceptional Executive Assistant looking for a high-impact, international freelance opportunity within a world-renowned creative network? We are INGO, a creative boutique proudly part of Ogilvy’s global network, and we're seeking a highly organised, proactive, and strategically-minded Freelance Executive Assistant & Project Coordinator to join our vibrant team until the end of January 2026.
This isn't your average EA role. You'll be a critical support pillar for our Chief Commercial Officer, Global Client Lead, and Chief Delivery Officer (EMEA), as well as the wider leadership team. What You'll Be Doing (Beyond the Standard!):
- Strategic Executive Support: Providing comprehensive administrative and strategic assistance to our senior leadership, managing complex calendars, communications, and presentations with impeccable foresight.
- Global Travel & Logistics: Expertly coordinating intricate international travel itineraries, managing expenses, and ensuring seamless logistics for our CCO and other team members across multiple time zones and European hubs (Stockholm, Amsterdam, Zurich, Hamburg, Frankfurt, London). You'll be the architect of smooth journeys!
- International Hub Liaison: Acting as a vital communication link, fostering seamless collaboration and information flow between our key European offices in Stockholm, Amsterdam, Zurich, Hamburg, Frankfurt, and London. You'll be instrumental in connecting our global operations.
- Client Project Coordination: Taking the lead in project managing key client initiatives for the team, ensuring deadlines are met, resources are aligned, and communication flows efficiently within the team and with stakeholders. You'll help drive our client successes forward.
Who You Are:
- Experienced EA: You have a proven track record supporting C-suite or senior global leaders, demonstrating discretion, initiative, and a calm approach under pressure.
- Logistics : Your organizational skills are second to none, especially when it comes to complex international travel, expense management, and intricate scheduling.
- Natural Communicator: You're adept at building relationships and facilitating clear, concise communication across diverse international teams and cultures.
- Project Management Pro: You possess demonstrable project coordination capabilities, able to drive initiatives forward independently and keep multiple plates spinning.
- Proactive & Resourceful: You anticipate needs, solve problems before they arise, and thrive in a dynamic, evolving environment.
- Tech-Savvy: Proficient with modern office software, communication platforms, and travel booking systems.
