About the Position

As the Development Program Manager you will provide oversight of key projects and programs that support the philanthropic goals of the Gift Planning team, including: developing and coordinating strategic engagement opportunities for top donors and prospects, facilitating donor events and other activities, and serving as a vital partner to the Gift Planning team. The Development Program Manager will support strategic planning and reporting through Smartsheet, analyzes donor outreach and marketing efforts, and helps manage key programs such as the Legacy Society, alumni reunions, and advisor gatherings.

What You’ll Be Doing

Program and Project Management

  • Serve as central resource for tasks ranging from prospect strategy coordination, proposal creation and facilitation, and enhancement of team operations 
  • Support intake and documentation of life income gifts, including preparing application packages, tracking asset transfers and required documents, setting up DocuSign agreements, preparing gift transmittals and final calculations, and liaising with Finance and US Bank 

  • Develop and coordinate strategies for engagement and stewardship of key donors, including Legacy Society members; maintain a calendar of recommended donor touchpoints, and track donor activity in the CRM  
  • Prepare formal reports and materials by gathering and compiling data and other information 

  • Coordinate donor mailings, event invitations, and marketing data lists; monitor and manage inventory of Legacy Society premiums and other donor materials  
  • Prepare reports and materials by gathering and compiling data and other information, including analytics from digital marketing, paid search, and direct mail campaigns 

  • Maintain team systems such as Smartsheet to manage communication calendars, annual workplans, and project timelines 
  • Manage meeting preparation, assisting with strategies for OHSU and Foundation presidents, key leaders, development officers and faculty

  • Leverage strong data querying and reporting skills to create and manage Smartsheet dashboards and Excel reports; apply logic-based segmentation to organize donor and prospect data for marketing outreach (direct mail and e-blasts) and performance tracking

  • As appropriate, represent the foundation with potential donors, current donors, OHSU and foundation colleagues, volunteers and community members

Department Support and Special Projects

  • Manage AVP’s calendar, ensuring strategic and deadline-driven pipeline advancement 

  • Facilitate workflow from fundraising team to assigned development coordinator and provide clear expectations for deadlines and outcomes 

  • Work across departments to coordinate internal resources and third parties/vendors as necessary 

  • Provide general administrative support to the fundraising team when needed, including record keeping, scheduling meetings and meeting preparation 

  • Serve as liaison to OHSU departments within the fundraising units of the team 

  • Manage and execute special projects as needed  

Who You Are

  • Strong project management and organizational skills; ability to independently manage and prioritize multiple projects and tasks 

  • Strong interpersonal skills; comfort working directly with donors and engaging with new contacts  

  • Strong data and analytical skills for managing reports and dashboards  

  • Ability to take initiative and be self-directed; demonstrates high level of accountability 
  • Exceptional attention to detail 

  • Excellent verbal and written communication skills

  • Advanced knowledge of Microsoft Office suite, including Excel and Word 
  • Compassionate and culturally-responsive; maintains an ability to work with internal and external individuals and groups from diverse backgrounds and lived experiences 

You should have

  • 3+ years’ experience in program or project management
  • Experience working in technical sales or another sales environment 
  • Experience working with a CRM
  • Related experience working in a non-profit or fundraising environment

Working Conditions

  • Occasional hours outside of normal work hours for donor visits, meetings or programs 
  • Some local travel may be necessary 

Salary (Step I)

$66,164 - $79,397 USD

Pay

Salary is dependent on experience. Each salary band is broken into three "steps," which correspond with an employee’s experience/tenure, proficiency and performance in that specific role. New employees will typically start at step I of our pay band to allow for later growth, although more experienced candidates may be eligible to start at step II or III. The OHSU Foundation has a structured process for determining starting compensation, taking into account years of related experience, applicable skills, knowledge and abilities, market parity, and internal equity.
