About the Opportunity: 

The Senior Administrative Manager oversees daily office operations across multi-floor premises totalling up to 80,000 square feet and supporting approximately 1,000 employees. This role ensures safe, secure, efficient, and scalable workplace operations through strong facilities management, physical security oversight, vendor governance, strategic expansion planning, and operational excellence.
 
 

What You’ll Be Doing:

Office Management & Facilities Oversight

  • Manage front desk, lead end-to-end daily operations across multi-floor office premises
  • Ensure smooth functioning of building infrastructure including air-conditioning, power, lifts, utilities, and shared systems
  • Oversee workspace planning, seating allocation, and capacity optimization to support business growth
  • Plan and manage renovations, fit-outs, relocations, and future expansion initiatives
  • Collaborate with global security teams on physical security policies and emergency procedures
  • Lead incident response and ensure adherence to building, fire safety, and security regulations
  • Drive continuous improvements in operational efficiency, safety standards, and workplace resilience, including through AI and automation-enabled initiatives

Vendor & Procurement Management

  • Oversee all local procurement processes, including vendor sourcing, contract negotiations and cost control
  • Manage office inventory, assets and non-laptop equipment, ensuring accurate record-keeping
  • Support audit readiness and ensure compliance with procurement and financial policies

Cross-Functional & Regional Business Support

  • Act as a liaison between Admin, HR, IT, Finance, Legal and business units to support operational and security needs
  • Act as the primary escalation point for workplace, facilities, and security matters
  • Provide regular reporting to management on operational performance, risks, and improvement plans
  • Provide admin support to nearby regional offices as required, ensuring alignment with company standards
  • Foster operational teamwork and collaboration within the team to ensure cohesive and effective administrative support
 

What We Look For In You:

  • Minimum 5+ years of experience in office administration or facility management, ideally in a regional or multi-entity setup.
  • Knowledge of local building, fire safety, and workplace regulations.
  • Demonstrated success in vendor negotiation, event planning & execution and employee engagement.
  • Solid experience in budgeting, tracking, and cost optimization, good at reporting and data analysis.
  • Results-oriented, self-motivated, high-ownership mindset and proactive.
  • Proficiency in office tools and platforms, bonus if skilled in visual content (photography/video editing/newsletter creation).
  • Willing to work in Tun Razak Exchange, walking distance to MRT TRX.
