About the Opportunity

We are looking for a highly capable and driven Administrative Manager to lead our office operations in Singapore and provide regional administrative support. This ideal candidate is an experienced professional with organizational acumen, strong logical thinking and analytical skills, excellent stakeholder management skills, and the ability to drive initiatives in a fast-paced, tech-driven environment.

What You’ll Be Doing

1. Office Management & Facilities Oversight

  • Manage front desk, lead day-to-day office operations, ensuring a professional, efficient and well-maintained workplace.
  • Administer access issuances and visitor controls.
  • Coordinate with building management and vendors on repairs, cleaning and facility upgrades.
  • Oversee end-to-end office modification and renovation projects to meet evolving workplace requirements.
  • Establish and maintain emergency response protocols to ensure the safety of employees and continuity of operations.
  • Implement a comprehensive EHS framework to ensure a safe and secure working environment whilst minimising operational downtime.
  • Collaborate with global security teams on physical security policies and emergency procedures.

2. Employee Engagement & Workplace Culture

  • Ensure inclusivity and cultural relevance in event planning and internal communications.
  • Support onboarding experiences and promote a positive workplace environment.

3. Vendor & Procurement Management

  • Oversee local procurement processes, including vendor sourcing, contract negotiations and cost control.
  • Manage the tracking and upkeep of office inventory, physical assets and non-laptop equipment, utilizing AI-powered reporting to ensure data accuracy and operational visibility.
  • Support audit readiness and ensure compliance with procurement and financial policies.

4. Cross-Functional & Regional Business Support

  • Act as a liaison between Admin, HR, IT and Finance teams to ensure smooth cross-functional operations.
  • Provide admin support to nearby regional offices as required, ensuring alignment with company standards.

What We Look For In You

  • Minimum 5+ years of experience in office administration or facility management, ideally in a regional or multi-entity setup.
  • Prior experience in fintech, crypto or high-growth industries is an advantage.
  • Demonstrated success in vendor negotiation, event planning & execution and employee engagement.
  • Solid experience in budgeting, tracking, and cost optimization, good at reporting and data analysis.
  • Familiarity with AI tools and a willingness to leverage them in day-to-day operations.
  • Proficient in English as a working language, and fluency in Mandarin to liaise with Mandarin-speaking stakeholders.
  • Proficiency in office tools and platforms, bonus if skilled in visual content (photography/video editing/newsletter creation).
