About the Role >>> Executive Assistant

We are seeking a highly motivated and resourceful Executive Assistant to support our Chief Operating and Financial Officer (COO/CFO). This is a mission-critical role that requires exceptional organizational skills, sound judgment, and the ability to operate with discretion and professionalism. You will be a key partner to the COO/CFO and a valued member of the broader Executive Assistant team, contributing to the overall effectiveness of the organization.

This role will be based out of our Cambridge, MA offices and will be required to be on site 4 days per week.

Key Responsibilities:

Executive Support

  • Manage complex calendars, prioritize scheduling needs, and coordinate across internal and external stakeholders including the executive team, board members, investors, and strategic partners
  • Plan, coordinate, and support executive meetings, including agenda development, briefing materials, presentations, logistics, and follow-up communications
  • Arrange domestic and international travel, prepare detailed itineraries, and manage expense reporting through Concur
  • Ensure the COO/CFO is prepared for all engagements by assembling materials and supporting presentation development

Business Partnership

  • Develop a deep understanding of business priorities and proactively manage time and tasks accordingly
  • Act as a thought partner to the COO/CFO, helping to ensure time is focused on high-impact areas and key deliverables
  • Exercise discretion and confidentiality while representing the COO/CFO internally and externally

Office & Culture Stewardship

  • Support a positive office environment by coordinating in-office events and executive team visits
  • Oversee swag and gift ordering, manage office supply inventory in collaboration with third-party vendors, and ensure a well-equipped and welcoming office space
  • Help facilitate candidate on-site visits and other special events

Team Collaboration & Administrative Excellence

  • Serve as a key liaison between the COO/CFO’s office and internal teams, helping to ensure alignment and flow of information
  • Collaborate with other Executive Assistants to establish best practices, streamline administrative operations, and share coverage as needed
  • Support onboarding for vendors, generate purchase orders, and process invoices

Knowledge

  • Bachelor’s Degree required
  • Advanced proficiency in relevant software including MS Office Teams, Zoom, Concur, Excel, PowerPoint, PO processing and an aptitude to both learn and utilize technology
  • Excellent oral and written communication skills required

Experience

  • 5+ year experience supporting C-Suite level executives required
  • Experience working in the biotech/pharmaceutical industry required
  • Experience supporting investor relations activities preferred
  • Demonstrated experience managing projects and multi-tasking in a fast-paced work environment with changing priorities
  • Proven team player who enjoys working in a team environment and has an innate ability to collaborate and partner with others to ensure business goals are met in a timely manner

The base pay range for this position is expected to be $128,000 - $140,000 annually, however the base pay offered may vary depending on location, market, job related knowledge, skills and capabilities, and experience. The total compensation package for this position also includes equity, bonus, and benefits.
