Role: Paralegal (FTC 6 months)
Location: London, England, United Kingdom (2-3 days a week from our London Office)
About the role:
The Inside Ideas Group is looking for an enthusiastic paralegal to join its in-house team on a fixed term contract. The role will primarily focus on supporting the small but busy legal and company secretarial team in its day-to-day operation. The Group is a very dynamic and innovative marketing and advertising business with over 63 companies in 37 jurisdictions and its footprint is growing. The business is also pivoting to become an AI first business so joining the team at this time is a great opportunity to be exposed to that business transformation. The candidate should have excellent attention to detail, be patient, collaborative, enthusiastic and proactive. The candidate should be comfortable supporting senior executives and working on projects with cross-functional business teams.
What you will be doing:
- Assistance in reviewing and drafting simple commercial agreements such as NDAs
- Assistance with the implementation of an AI based contract management and review system
- Obtaining and collating signed documents such as commercial agreements, account year end resolutions, and other company secretarial documentation
- Keeping the legal and Co-Sec teams’ document management systems, precedents, reports and schedules up-to-date.
- Creating resolution templates and collaborating with the finance teams to facilitate signed resolutions and filings; ensuring the delegation of authority approval process is followed and escalating when appropriate.
- Assisting the treasury team with KYC requests.
- Support maintaining the Group’s corporate records and creating structure charts on Diligent.
- Helping preparation of contract summaries and responses to straightforward legal enquiries.
- Reaching out to cross-functional teams to request and provide information.
- Liaising with notaries to have documents legalised and apostilled, drafting cover letters and arranging couriers as needed.
- Raising Purchase Orders for the legal and co-sec expenses including having new vendors added to the system and following up until payment has been made.
- The successful candidate must be comfortable working in a fast-paced and demanding environment and must complement the small, dedicated, collaborative and passionate legal and company secretarial team, working closely with business managers. A good team spirit, patience and persistence are essential.
- You will be open and willing to attend sustainability training relevant to your role and soak up recommended research and reading about sustainability issue
What you need to be great in this role:
The successful candidate must:
- be law degree educated;
- ideally with LPC or SQE qualifications;
- 2 year plus experience as a paralegal and/or company secretarial support gained in private practice and/or in-house;
- have excellent organisational and communication skills;
- understands when a matter is within their own mandate or needs to be escalated;
- good working knowledge of Microsoft Office applications – Word, Excel, Teams, Forms and Adobe Acrobat;
- have a working knowledge of Diligent and Docusign (ideally, although training can be given to the right candidate);
- be proactive at developing internal business relationships;
- be a confident team player with an encompassing attitude to the entire Inside Ideas Group team globally;
- be motivated, enthusiastic and have a “can do” attitude;
- demonstrate excellent attention to detail; and,
- have a second language (though this is not essential
