Role:  Executive Assistant to Group CEO 12 month FTC (Maternity Cover)

About the role: 

Are you an experienced EA looking for a new role? We have a fantastic opportunity for an upbeat and pro-active person to join us as the Executive Assistant to the Group CEO. We are one of the fastest-growing marketing communications companies and are based in the heart of London and your main mission will be to help organise an newly appointed Group CEO. This role needs someone who enjoys supporting others and helping them be the best they can be. You'll be interacting with employees from all levels across the company and will have to navigate many ad hoc demands, so you must be a real people-person who enjoys managing expectations and problem solving. 

What you will be doing: 

  • Assisting the Group CEO and Global Leadership Team  
  • This role will involve extensive diary management across multiple time zones, so a calm yet confident approach is required for the organisation of an ever-changing diary. 
  • You will be responsible for expenses, company card, booking meetings across multiple time zones both with internal and external contacts and minute taking on a daily basis. 
  • You will manage the travel requirements for the CEO, preparing travel agendas and managing the diary accordingly. This may extend to other senior members in the business who do not have assistance, where needed. 
  • The role will require preparation/formatting of documents and other correspondence, so knowledge of standard industry packages such as Microsoft Office are essential. 
  • You may be required to pick up projects across the business that stretches beyond OLIVER and IIG and into Group Companies where required 
  • Dealing with a variety of ad hoc queries and requests from across the business and facilitating especially when it comes to general administrative duties. Examples are Cannes Lions organisation, large scale group meetings and client and prospect meeting theatre. 
  • Meeting and greeting visitors, assisting with catering, room set-up, and ensuring IT requirements are met for meetings. 

What you need to be great in this role: 

  • Experience of diary management is essential. 
  • Ability to remain professional and courteous when dealing with all staff and clients. 
  • Excellent attention to detail with an engaging and professional communication style. 
  • Flexibility and adaptability is key in this fast-moving role. 
  • Confidentiality is an absolute must in this role, and you will always appreciate the need for discretion. 
  • Excellent Problem solver – you are able to work independently to solve problems to the benefit of the CEO and where appropriate the business. 
  • Ability to multitask is important, there will be many balls to juggle, and you will need to ensure that you not let any drop. 
  • The ideal candidate will be friendly, organized with a good sense of humor and written communication style.
