Role: Personal Assistant

Location: Rosebery Street Office, London (Minimum 3 days per week onsite)

About the role: 

This role provides dedicated late-day and evening support to the Global CEO, ensuring seamless continuity of the CEO Office across extended working hours. 

Working in close partnership with the Lead Executive Assistant, this role is responsible for execution, responsiveness, and operational excellence during the CEO’s busiest external-facing and global collaboration hours. 

The role also plays a critical part in helping the CEO Office stay one step ahead by proactively gathering insights, anticipating needs, and supporting the preparation and coordination of client and stakeholder engagements across multiple time zones. 

 

What you will be doing:

Late-Day CEO Support & Execution 

  • Own CEO support from midday to end-of-day 
  • Ensure all meetings are prepared and executed seamlessly 
  • Provide real-time support across dynamic and shifting priorities

CEO Readiness & Briefing Preparation

  • Prepare high-quality briefing packs, presentations, and summaries 
  • Ensure CEO readiness for all engagements 
  • Synthesise information into clear, concise, decision-ready formats 

 Data Gathering & Insight Development

  • Proactively gather relevant data and insights to support CEO decision-making 
  • Collate information on stakeholders, engagements, and priorities 
  • Translate data into actionable insights to inform client and business interactions.

Client Engagement Support & Planning

  • Support planning and coordination of client and external engagements 
  • Assist in shaping agendas, materials, and desired outcomes 
  • Ensure all interactions are well-prepared, aligned, and impactful

Diary Management & DynamicReprioritisation

  • Manage and adjust afternoon/evening schedule dynamically 
  • Triage competing demands across multiple stakeholders and time zones 
  • Protect CEO focus while ensuring responsiveness to priority matters 

Global Stakeholder Coordination

  • Coordinate across US, Europe, and APAC stakeholders 
  • Manage competing time zone demands effectively 
  • Ensure seamless communication, alignment, and scheduling 

Meeting & Event Execution

  • Support client meetings, leadership sessions, and events 
  • Manage logistics, materials, and follow-ups 
  • Ensure a high-quality, well-orchestrated experience 

CEO Office Continuity & Forward Planning

  • Partner with Lead EA for seamless handover 
  • Maintain continuity across the day 
  • Anticipate upcoming priorities and prepare in advance 

Communication & Follow-Up Management

  • Draft communications to clients on behalf of the CEO as required 
  • Track actions, decisions, and follow-ups 
  • Ensure timely execution and closure of key items 

Problem Solving & Issue Resolution

  • Resolve conflicts, scheduling issues, and emerging challenges quickly 
  • Operate with sound judgement and minimal escalation 
  • Maintain calm and control in a fast-paced environment 

 

What you need to be great in this role: 

  • 5+ years PA or business support experience in fast-paced environments 
  • Ideally advertising agency experience
  • Strong organisational, coordination, and prioritisation skills 
  • Experience supporting C-suite or senior executives 
  • Strong written communication and presentation skills 
  • Ability to gather, interpret, and synthesise information effectively 
  • Advanced proficiency in Microsoft Office and collaboration tools 
  • The CEO is consistently prepared, informed, and supported through to end of day 
  • The CEO Office stays one step ahead of priorities, demands, and engagements 
  • Seamless coordination across time zones and stakeholders 
  • High-quality preparation and execution of meetings and interactions 
  • Strong follow-through and momentum on key actions and outcomes
