About the Role:

The Associate Account Manager works with the client services team, offering direct project support across all areas. Associate Account Managers establish excellent client relationships, as well as playing a key role in coordinating schedules, managing project timelines, assisting with budgeting and participating in client meetings.

Collaboration is a key requirement of the role, as well as the ability to organise, prioritise and coordinate across multiple departments, stakeholders and projects.

Key Responsibilities:

Communication

  • Ensure clarity in all written and verbal communications, including the ability to adapt tone and approach to suit the situation; e.g. client communication vs internal communication
  • Recognise that each of your tasks forms part of a wider project, and ensure that your team are kept up to date with your progress, prioritisation and task completion
  • Take the lead on day-to-day client communication, including preparing call agendas, leading status calls and writing contact reports for internal and external distribution
  • Understand the role of team members when communicating the scope of a project to clients

Organisation and Planning

  • Support the account team to deliver client projects and programmes, including assisting with the creation of project schedules and client estimates, ensuring all project trackers, schedules and estimates are updated in a timely manner as required
  • Take accountability for your own time and effective prioritisation of your tasks and responsibilities, ensuring that deliverables meet required quality standards
  • Coordinate within the internal team to arrange team project meetings, briefings and status updates. Take responsibility for ensuring actions are followed up by the relevant party on time
  • Take direction and collaborate with senior team members in the creation of project plans for clients, supporting the development and production of signed tactics
  • Identify and brief key stakeholders (including internal team members, suppliers and clients) as to when they need to get involved
  • Simultaneously work effectively across multiple accounts, increasing your exposure to different clients and projects and understanding their different needs
  • Be flexible – you need to demonstrate the ability to adapt your approach to changing situations and stakeholders; e.g. correctly identifying when you prioritise an urgent client request
  • Enter time and submit expenses by the deadlines set, using appropriate job codes

Collaboration and Building Relationships

  • Add to effective working relationships with different groups of colleagues when communicating and coordinating the development of programme elements
  • Partner proactively and positively across teams and departments to drive projects forward to a timely completion
  • Help to guide Junior Account Managers, using best practice when approaching reconciliations, budgets and scopes

Financial Acumen

  • Own responsibility for providing up-to-date financial reports, both internally and for clients, and ensure reports are tracked efficiently
  • Continue to build on your existing knowledge of profitability and the agency business model
  • Work with more senior team members to build budgets and associated documents, including financial forecasting

Taking the Initiative

  • Use your curiosity to identify and build on potential opportunities for your clients and HCG; e.g. organically growing the accounts you are working on
  • Take the lead on smaller projects, assuming overall responsibility for the project
  • Assist in research, possibly identifying sources, compiling and summarising information
  • Proactively contribute your ideas and suggestions
  • Further develop your working knowledge of programme objectives
  • Take responsibility for developing your knowledge of the pharmaceutical industry and compliance
  • Own responsibility for your personal development, regularly looking for other ways to learn and grow professionally by maximising exposure to new opportunities, making the most of training and requesting training as required
  • Undertake tasks outside of the specifics of the job description where business reasons require it

Skills and Experience:

Essential

  • Educated to degree level in a relevant science subject or relevant experience
  • Proficient in Microsoft Office

Desirable

  • Previous experience in a medical communications agency
  • Ability to travel internationally
  • Demonstrable multitasking ability
