Position Objective:
We are seeking an Operations Associate to join us in our mission to make solar energy the number one source of electricity for consumers and utilities. This is a unique opportunity to support our growing office and multidisciplinary team in Madison, WI.
The Operations Associate is responsible for ensuring smooth day-to-day operations at our Madison office while also supporting our other office locations and corporate business operations. The successful candidate will be excellent at multi-tasking, flexible in their daily routine, and will be someone who fosters teamwork across the organization. This role will report into our Human Resources team with strong collaboration throughout our organization. The role is based out of our Madison, WI office, working in-office most days (~ 4 days/week).
Responsibilities:
Madison Operations Support
- Act as the primary point of contact of Madison Office location day-to-day operations for suppliers, vendors, and building management
- Coordinate Madison office events including team socials, lunches, holiday gatherings, and volunteer opportunities
- Manage space-planning for Madison office to accommodate seating arrangements for new hires
- Order and maintain snacks, office, and desk supplies for the Madison Office location
- Coordinate maintenance of company vehicles
- Distribute incoming mail
Corporate Business Operations Support
- Lead the planning and execution of the annual All-Team Offsite event
- Lead the coordination and planning of office moves and/or expansions
- Coordinate company-wide safety trainings and Lunch-and-Learns
- Administer Bethesda, Boulder, Portland, and Madison office metro benefits
- Coordinate ordering of team members’ business cards
- Support corporate business operations including updating monthly organizational chart and All-Team slide deck
- Support ad-hoc Bethesda, Boulder, and Portland office operational needs
Requirements:
- Bachelor’s degree preferred
- A minimum of 2 years’ experience in administrative or operations support
- Experience supporting or planning/managing large events preferred
- Ability to work independently and manage multiple priorities
- Demonstrated ability to manage projects from initiation to completion, ensuring on-time delivery and within budget
- Excellent verbal/written communication, presentation, and interpersonal skills
- Ability to build and maintain trust with employees and manage sensitive and confidential information
- Strong attention to detail and critical thinking capabilities
- Proactive, self-starter
- Experience in efficient, timely, and reliable support to internal and external stakeholders
- Comfortable with a work environment that is fast paced and changes quickly
- Ability to make informed decisions in a quick and nimble fashion
- Ability to work within a team with a positive, can-do attitude
- Strong working knowledge of Microsoft Office suite
- Demonstrated qualities of integrity, credibility, and fiduciary responsibility
