Overview
Location: This position is a hybrid role either Houston, TX or Reston, VA
Position Summary
We are seeking a highly organized and detail-oriented Document Controller to support the
engineering and project management teams. This role is responsible for managing all project
documentation across the lifecycle of BESS installations for data centers, ensuring accuracy,
accessibility, version control, and compliance with internal and external standards.
Key Responsibilities
- Set-up and maintain a structured document control system to track, organize, and store all project documents.
- Set up, maintain, and manage submittals, RFIs, drawings, and document logs in Procore.
- Coordinate with project managers, design teams, consultants, and subcontractors to ensure timely submissions and approvals.
- Monitor and update document control trackers, dashboards, and reporting tools.
- Ensure document version control and proper distribution of submittals, drawings, specifications, reports, RFIs, and change orders.
- Coordinate document flow between internal teams, engineering consultants, vendors, and contractors.
- Generate weekly reports and logs for submittals, RFIs, and outstanding items.
- Maintain current records of all project-related communications, transmittals, and revisions.
- Support the development and maintenance of document control procedures in accordance with company standards and project requirements.
- Assist in preparing project close-out documentation including as-builts, O&M manuals, and client submittals.
- Manage access control, file structures, and permissions within Procore.
- Maintain confidentiality and security of project documentation, especially technical and proprietary information.
- Participate in audits and quality assurance reviews as needed.
Qualifications
- Associate or bachelor’s degree preferred; equivalent experience considered.
- 3+ years of experience in a document control or project coordination role, preferably in the construction, energy, or engineering sectors on large-scale construction projects ($50M+).
- Procore platform proficiency is required (Submittals, RFI, Drawing, Transmittals, Documents modules)
- Proficient with Microsoft Office Suite and document collaboration tools (e.g., Bluebeam, SharePoint, etc.)
- Knowledge of technical drawings and construction documentation standards (CSI, version control, etc.)
- Excellent attention to detail, organization, and follow-through.
- Ability to manage multiple priorities under deadlines in a fast-paced environment.
- Understanding of document workflows in engineering or construction project environments.
- Strong communication and collaboration skills.
- Ability to work independently and as part of a multidisciplinary project team
Preferred Qualifications
- Experience supporting EPC or data center infrastructure projects.
- Proficiency with Microsoft Office Suite and Adobe Acrobat.
- Procore Certification is a plus
