The Challenge

The Global Real Estate and Workplace organization is dedicated to setting, implementing, and optimizing an integrated, inclusive, sustainable, safe, and secure physical and digital workplace experience for OneTrust’s distributed workforce. The Global Real Estate and Workplace team is comprised of Workplace, Operations, Corporate Technology, and Physical Security.

As the Workplace Associate, you will be responsible for being the primary point of contact for employees and leadership. This includes creating a welcoming and warm community environment, supporting events, and running the day-to-day of hospitality for OneTrust.

This role is primarily based in the New York City Office and reports to the Sr Workplace Manager based in Atlanta.

Your Mission

  • Front Desk / Ambassador: You will be responsible for staffing the front desk and greeting all employees and leaders, guests, vendors as they enter the space and pass by. You will also be responsible for developing relationships with executive assistants and corporate teams like IT Operations, HR/ People, and Communications to stay up to date on events and changes and be able to execute on supporting employees and leaders as needed.
  • Events, Community & Communication Management: You will be responsible for partnering with the Workplace Manager to plan events and community engagement program to include a mix of in-person and digital tactics. You will manage and drive engagement on the internal channels for employees and respond to questions with a consistent, warm, and clear approach as well as compile content for regular newsletters and updates.
  • Building Operations: You will be responsible for assisting with all aspects of managing the building in New York, including checking that the pantries / common areas are tidy, stocked and everything is working.
  • Mail & Package Management: You will be responsible for receiving, sorting, and contacting employees about mail as well as tracking shelf time and other aspects of the Mail & Package policy.  
  • Coordinate regular meetings with the executive assistants of OneTrust’s leadership team to stay updated on travel schedules, preferences, and any upcoming changes so you can proactively plan for them.
  • Manage requests and communications with employees through JIRA in partnership with other GRE & Workplace team members.
  • Build strong relationships with team leaders and points of contact to know and track their workplace needs.
  • Coordinate events, including working within a budget to purchase and set up decorations, catering and other details as specified by Workplace leadership and other team leaders.
  • Design and run programs such as competitions on internal communications channels to drive engagement and build community and connection.
  • Partner with the Employee Trust Groups and Diversity, Equity, and Inclusion groups to design and implement programming in alignment with company agenda
  • Compile and prepare newsletter content to go out to employees on a regular basis.
  • Do walkthroughs of the office and ensure everything is working and up to standard. Move boxes, reset spaces as need be during walkthroughs.
  • Give tours and be a helpful and knowledgeable presence regarding the office.
  • Support creation and documentation of systems and processes, and the management and maintenance of those systems & processes.
  • Complete other tasks and projects as directed by your manager and Global Real Estate & Workplace (GREW) leadership.  

You Have

  • Knowledge of business processes and professional office etiquette.
  • Demonstrated interpersonal skills, with the ability to work effectively with all organizational levels.
  • Strong communication skills (verbal, written, presentation and listening).
  • Familiarity with and competence in Microsoft Suite, including Excel and PowerPoint.
  • Familiarity with marketing and internal communications techniques. Experience putting together email newsletters and managing online communities.
  • Familiarity with data entry regarding budgets, tracking supplies, and other forms of inventory.
  • Familiar with mail and package processes with different providers including USPS, FedEx, and UPS.
  • Ability to maintain confidentiality and integrity.
  • Has a proactive, can-do approach. Eager to learn and grow.
  • Works well with little direction and has a strong sense of personal responsibility and integrity when it comes to doing a good job.
  • Ability to work efficiently and effectively while maintaining attention to detail.
  • Ability to collect and interpret information to be used to improve day-to-day work.
  • Basic project management skills (e.g., managing multiple client requests and deadlines).
  • Ability to reduce process errors and improve process results.  
  • 2+ years of administration, reception, business, or other comparable experience.
  • High school diploma or GED.
  • Proficiency with Microsoft Suite, including Excel, Word, and Microsoft Project.
  • Can do, proactive attitude. Eager to learn and grow.
  • Familiarity with a range of project management tools and Jira
  • Familiarity with workplace approaches and strategies, experience in the real estate industry.
  • Experience working with a distributed, asynchronous workforce.

For California, Colorado, Connecticut, Nevada, New York, Rhode Island, and Washington-based candidates: the annual base pay range for this role is listed below. Within this range, individual pay is determined by several factors, including location, job-related skills, work experience, and relevant education and/or training. This role may also be eligible for discretionary bonuses, equity, and/or commissions, as well as benefits.

Salary Range

$41,250 - $61,875 USD
