
Operations Assistant - Open Core Ventures
Location: Remote - located in CA, CO, NY, or TX
Open Core Ventures (OCV) is seeking a highly organized and tech-savvy Operations Assistant to serve as the operational backbone for our team and rapidly growing portfolio of companies.
In this role, you’ll coordinate key workflows and meetings, maintain our systems and documentation, and ensure smooth communication between OCV and our stakeholders (e.g. founders and investors). You’ll play a vital role in keeping the team organized as we scale - supporting calendars, company formation activities, founder onboarding, logistics for team events, and beyond.

What You’ll Do
- Team Coordination & Scheduling:
- Manage and optimize calendars for OCV to ensure efficient use of time.
- Coordinate Group Office Hours and ensure the right founders are scheduled in each session with appropriate agenda docs.
- Adjust meetings dynamically to accommodate priorities like LP discussions or portfolio needs.
- Plan and coordinate the annual OCV offsite and founder events.
- Communication & Internal Operations:
- Serve as a key communicator across OCV and its portfolio, primarily via Slack — sharing updates about Group Office Hours, roundtables, and operational changes.
- Ensure timely updates to process documentation in our handbook and other internal systems.
- Systems & Process Management:
- Maintain and organize shared files, permissions, and templates in drives and password managers, etc.
- Manage operational tools including Greenhouse, Google Domains, Notion/GitBook, and other shared platforms used across OCV companies.
- Support new company setup activities and founder onboarding logistics using established playbooks and checklists.
- Keep process documentation up to date as systems evolve (e.g., updating screenshots, revising Loom walkthroughs, and noting new automation steps).
- Automation & Efficiency:
- Use AI tools (e.g., ChatGPT, Claude) and workflow automation platforms to streamline repetitive tasks, documentation updates, and scheduling logistics.
- Identify and propose new opportunities to simplify and scale recurring workflows.
- Special Projects:
- Assist with one-off operational initiatives or data-management projects as the organization grows and systems evolve.

Requirements
- 2+ years of experience in operations, administrative, or coordination roles — ideally within startups, venture capital, or fast-paced tech environments.
- Exceptional organizational and follow-through skills with high attention to detail.
- Proficiency with productivity tools including Google Workspace, Slack, Greenhouse, Notion/GitBook, etc.
- Experience with or enthusiasm for AI tools and workflow automation platforms.
- Strong written and verbal communication skills.
- Sound judgment, discretion, and professionalism when handling confidential information.
- Bachelor’s degree or equivalent experience preferred.
