Title: Executive Assistant to the CEO & COO

Work Environment: Hybrid, In-Office 3 days per week
Candidates must be located in the St. Louis Missouri area

 

 

Position Purpose

The Executive Assistant provides high-level administrative support to senior executives by handling a wide range of executive-level tasks, managing schedules, coordinating meetings and travel, and serving as a key point of contact. This role requires discretion, strong organizational skills, attention to detail, and the ability to work independently with sound judgment. This individual must be a positive, goal-driven professional with a successful track record supporting executive leaders in a fast paced, collaborative environment. Essential Functions

  • Manage and maintain executive calendars, including scheduling meetings, appointments, and travel.
  • Prepare, edit, and format correspondence, reports, presentations, and other documents.
  • Coordinate logistics for meetings, including agendas, board meeting materials, and follow-ups.
  • Screen calls, emails, and requests, responding when appropriate and escalating as necessary.
  • Handle confidential and sensitive information with a high degree of integrity and discretion.
  • Organize and maintain files, documents, and records both electronically and physically.
  • Facilitate internal and external communications on behalf of the executive(s).
  • Assist with special projects, research, and compiling information for reports and briefings.
  • Support leadership team meetings, including scheduling, note-taking, and materials preparation.
  • Act as a liaison between the executive and internal/external stakeholders.
  • Lead and organize fun events with the employee engagement committee for the corporate office.
  • Support daily mail delivery and filing.
  • Participates in other duties and responsibilities as assigned within the corporate office.
  • Hybrid work environment, including being in the office standard business hours 3 days per week, two days per week remote. Occasional after-hours availability may be required.

 

Qualifications

Education:

  • Bachelor’s degree in business administration, Communications, or a related field, preferred.

 

Experience:

  • 5+ Years proven experience as an Executive Assistant, or similar role supporting senior leadership.

  • Ability to develop alternative solutions to problems; comparing and analyzing data; preparing clear, concise, thorough, meaningful, and grammatically correct written reports, letters, memoranda, and other documents.
  • Ability to independently plan, organize, prioritize, schedule, coordinate, and make decisions relating to assigned tasks.
  • Very strong customer service orientation, positive attitude, highly self-motivated, directed and change oriented.
  • Advanced proficiency in various computer applications, e.g. word processing, excel spreadsheet, e-mail, database management and presentation software.
  • Ability to apply discretion, trust with confidential Company information, along with the ability to formulate a sound decision using the available information.
