Title: Administrative Assistant
Work Environment: Hybrid, including being in the office 3 days per week, two days per week remote.
Hours: Standard business hours, though occasional after-hours availability may be required.
Candidates must be located around the Chesterfield, Missouri area
Position Purpose
The Administrative Assistant provides administrative and clerical support to ensure the smooth operation of daily business activities. This role requires strong organizational skills, attention to detail, and the ability to manage multiple priorities while maintaining professionalism and confidentiality. Essential Functions
- Manage and maintain executive calendars, including scheduling meetings, appointments, and travel.
- Prepare, edit, and format correspondence, reports, presentations, and other documents.
- Maintain organized filing systems (digital and physical) and ensure records are accurate and up to date.
- Screen calls, emails, and visitors; handle routine inquiries and direct others appropriately.
- Assist with meetings, including agenda preparation, note-taking, and follow-up actions.
- Monitor and order office supplies, ensuring efficient operation of office equipment.
- Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies.
- Handle confidential and sensitive information with a high degree of integrity and discretion.
- Facilitate internal and external communications on behalf of the executive(s).
- Assist with special projects, research, and compiling information for reports and briefings.
- Act as a liaison between the executive and internal/external stakeholders.
- Maintain polite and professional communication via phone, e-mail, and mail.
- Lead and organize fun events with the employee engagement committee for the corporate office.
- Support daily mail delivery and filing.
- Participates in other duties and responsibilities as assigned within the corporate office.
- Hybrid work environment, including being in the office standard business hours 3 days per week, two days per week remote. Occasional after-hours availability may be required.
Qualifications
Education:
- Associate’s or bachelor’s degree, preferred.
Experience:
- 2+ Years of administrative or office support experience.
