The Project Manager plays a pivotal role in leading the planning, coordination, and execution of new Med Spa openings and operational expansion projects across multiple markets. This individual ensures each new locations and offerings launch seamlessly- on time, within budget, and aligned with brand, compliance, and performance standards. They will collaborate closely with executives, operations, clinical teams, marketing, and external vendors to drive growth and operational excellence as the Med Spa scales.

Location: 1301 Dove St., Suite 670, Newport Beach, CA 92660

Schedule: Monday to Friday

Compensation: $90,000+/salary (base on experience)

What You Will Do:

  • Expansion Strategy & Planning
    • Oversee all phases of new location development—from site selection and lease negotiation to design, buildout, and launch.
    • Partner with leadership to define expansion timelines, budgets, and resource requirements, ensuring alignment with broader organizational goals.
    • Lead cross-departmental initiatives that support the long-term expansion roadmap, including operational scalability, regulatory readiness, and new market entry planning.
    • Design and improve end-to-end processes that support efficient location rollouts, resource forecasting, and cross-team workflow integration.
  • Project Management & Execution
    • Develop and maintain detailed project schedules, budgets, risk logs, and task trackers for multiple simultaneous buildouts and strategic initiatives.
    • Oversee project budgets, perform variance analysis, and make recommendations to maintain financial accountability across projects.
    • Lead kickoff, status, cross-functional working sessions, and post-launch review meetings with stakeholders at all levels.
    • Manage project risk assessments, contingencies, and change requests while exercising independent judgment to ensure successful delivery and alignment with business needs.
    • Negotiate project-related agreements, change orders, and vendor proposals to optimize cost, timeline, and quality outcomes.
  • Vendor & Construction Oversight
    • Source, contract, and manage architects, contractors, designers, and equipment suppliers for new site buildouts.
    • Oversee construction timelines, permitting, and inspections to ensure compliance with healthcare, clinical, and local regulatory standards.
    • Negotiate vendor contracts, pricing, and service-level expectations to maximize cost efficiency and maintain quality performance.
    • Evaluate vendor performance and implement process improvements to strengthen ongoing construction and facilities operations partnerships.
  • Cross-Functional Coordination
    • Work closely with operations, marketing, clinical, IT, and finance teams to ensure new locations meet brand, technology, regulatory, and service requirements.
    • Manage cross-departmental initiatives that require alignment across clinical protocols, technology platforms, service workflows, and customer experience standards.
    • Coordinate staff onboarding, inventory setup, technology implementation, and readiness activities for new locations.
    • Ensure smooth operational handoff and structured post-launch support, including issue resolution, performance tracking, and continuous improvement feedback loops.
    • Design scalable communication and workflow processes that streamline collaboration among internal teams and external partners.
    • Coordinate clinical reviews and medical sign-offs to ensure regulatory compliance and safe implementation of new treatments.
    • Partner with marketing to develop launch campaigns, promotional strategies, and customer education materials.
    • Work with training, operations, and clinical teams to develop and deliver training programs for providers and staff.
    • Oversee pilot testing, rollout planning, and post-launch performance evaluation to ensure successful adoption and operational consistency.
    • Manage cross-functional alignment across clinical, operations, marketing, and finance to ensure each offering is scalable, compliant, and commercially viable.
  • New Offering & Treatment Launch Oversight
    • Lead the end-to-end launch of new treatments, services, and offerings across the organization.
    • Coordinate clinical reviews and medical sign-offs to ensure regulatory compliance and safe implementation of new treatments.
    • Partner with marketing to develop launch campaigns, promotional strategies, and customer education materials.
    • Work with training, operations, and clinical teams to develop and deliver training programs for providers and staff.
    • Oversee pilot testing, rollout planning, and post-launch performance evaluation to ensure successful adoption and operational consistency.
    • Manage cross-functional alignment across clinical, operations, marketing, and finance to ensure each offering is scalable, compliant, and commercially viable.
  • Reporting & Performance
    • Track KPIs for project delivery timelines, cost efficiency, operational readiness, and new treatment launch performance.
    • Prepare and present progress updates and business cases to leadership, highlighting risks, opportunities, and strategic recommendations.
    • Create documentation, playbooks, and process frameworks that support repeatable and scalable expansion and launch operations.
    • Analyze project and launch outcomes to identify improvement opportunities and drive continuous refinement of organizational processes.

Qualifications:

  • Bachelor’s degree in Business Administration, Construction Management, Project Management, or related field.
  • Certifications: Project Management Professional (PMP), Lean Six Sigma (Green or Black Belt), or equivalent project/process improvement certification strongly preferred.
  • 5+ years of project management experience with responsibility for multi-site or multi-location expansions.
  • Experience in medical aesthetics, healthcare, or retail/hospitality environments
  • Strong financial acumen with proven experience managing project budgets and timelines.
  • Excellent leadership, organizational, and interpersonal communication skills.
  • Proficiency with project management software
