Purchasing Administrator

Outerspace provides dynamic services including, but not limited to, warehousing and fulfillment, customization and light manufacturing, and product photography.
We are seeking a dedicated Purchasing Administrator to join our growing team. The Purchasing Administrator role is responsible for supporting purchasing processes to ensure the needs of our organization are met in the most cost effective and efficient manner. This role requires the development and maintenance of successful relationships with both internal partners and vendors. The Purchasing Administrator reports directly to the Director of Purchasing.
Key responsibilities:
Order Processing:
- Review purchasing requests for accuracy, completeness, and authorization.
- Generate and submit purchase orders.
- Monitor order status and follow up on deliveries.
- Obtain proof of delivery from vendors and confirm receipt with requesters.
- Document receipt confirmation.
- Address order/receipt/invoice discrepancies.
- Track rebates.
Data Maintenance & Reporting:
- Perform data maintenance on item, vendor and pricing records.
- Update and manage order forms and distribution groups.
- Generate reports on purchasing activity and spending.
- Obtain and review forecast and inventory data.
Administrative Tasks:
- Answer inquiries related to purchasing activities.
- Obtain price quotes and agreement proposals.
- Support contract lifecycle activities.
- Support cost savings initiatives
- Other duties as assigned
Requirements/Qualifications::
- Experience: minimum of 2 years experience in purchasing support or a related role.
- Education: Bachelor’s degree, or a combination of Associate’s degree and equivalent experience preferred, but not required
- Communication skills: ability to effectively communicate with internal and external parties.
- Attention to detail: accurate data entry is crucial.
- Organizational skills: must be able to manage and prioritize multiple tasks and deadlines.
- Computer skills: proficiency in Google Suite and Microsoft Office.
