At Owens Companies, we know that strong financial processes are the foundation of exceptional customer service and operational success. We are seeking a dependable and detail-oriented Accounting Specialist who enjoys working in a collaborative environment and takes pride in accuracy, organization, and follow-through. This role offers the opportunity to support a dynamic commercial HVAC organization while developing a broad range of accounting and administrative skills.

Core Duties and Responsibilities:

  • Accounts Payable:
    • Review all invoices for appropriate documentation and approval prior to entry into the system.
    • Facilitate vendor payments, including check processing, ACH and portal payments.
    • Process & enter PO and non-PO invoices while ensuring all additional information is inputted correctly.
    • Enter, reconcile, and process credit card bills, receipts & payments.
    • Reconcile vendor statements to ensure accuracy.
    • Enter new vendors into the system and maintain vendor files including W-9 and certificate of insurance, if necessary.
    • Process annual1099 forms for vendors.
  • General Accounting:
    • Process daily check deposit and reconcile incoming banking transactions.
    • Support Staff Accountant in collection efforts.
    • Facilitate monthly recurring HVAC maintenance contract invoices.
    • Process quoted billings upon job completion.
    • Assist with month-end, year-end closing and audit processes.
    • Ensure compliance with company procedures and general accounting principles.
  • Administrative Support:
    • Assist with incoming calls.
    • Support operations team by assisting in obtaining permits, submitting rebates and renewing city licenses.
    • Collaborate with other departments to resolve issues & improve processes.

Preferred Qualifications:

  • 2+ years of accounts payable, accounting support, or bookkeeping experience preferred. Previous experience in accounts payable or related financial roles.
  • Knowledge and experience working in the HVAC industry a plus!
  • Experience with Sage Intacct, Sage 100 Contractor, Viewpoint, Foundation, BuildOps, or similar accounting/ERP systems preferred.
  • Strong verbal and written communication skills with the ability to interact professionally with vendors, customers, and internal team members.
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
