About the Role
Join an exciting and dynamic investment team at Pantheon, providing vital administrative support to high-performing professionals within our Infrastructure Division. As an integral part of our Investment Team, you’ll collaborate with administrators across global offices (San Francisco, New York, Hong Kong, Tokyo, Seoul, Bogota, and Dublin), ensuring seamless coordination of meetings, international events, and travel.
This is a unique opportunity to work at the heart of our global operations, driving efficiency for both the team and senior leaders, including Partners. You will have the chance to own, lead and manage key functions, including supporting high-level meetings and large-scale events like the Global Infrastructure Summit. We are looking for a highly organised individual who thrives in fast-paced environments and enjoys working across global teams.
Key Responsibilities
- Manage complex diaries, scheduling internal/external meetings.
- Use MS Planner to run meetings, prioritise tasks, and track actions.
- Provide high-touch inbox management for Partners, responding to and prioritising emails.
- Coordinate global meetings for key committees (e.g., Global Infrastructure & Real Assets, Senior Leadership).
- Organise team offsites and events, including international conferences like Global Summit Berlin.
- Serve as the Lead Event Coordinator for high-profile infrastructure events.
- Maintain key infrastructure meeting calendars, including tracking roadshows and investment team availability.
- Oversee the PINT (Pantheon’s listed Infrastructure Vehicle) Administration, supporting key investor relations, board meetings, and event logistics.
- Manage global travel arrangements, visas, and itineraries for team members.
- Perform expense management through Concur.
- Provide general administrative support to the wider team, including training new junior admins.
What We’re Looking For
- Proficiency in Microsoft Office (MS Planner desired).
- A flexible, proactive approach with the ability to juggle multiple tasks.
- Outstanding organisational skills, with exceptional attention to detail.
- Strong interpersonal and communication skills, both written and verbal.
- Professionalism, discretion, and the ability to handle sensitive information with confidentiality.
- Experience providing administrative support to busy teams in financial services or consulting is highly preferred.
- Ability to work effectively under pressure and meet tight deadlines.
