About the Role

Pantheon is looking for an experienced Team Assistant to provide high-calibre administrative support to two Managing Directors within one of our investment teams. This is a varied, fast-paced role for someone who thrives on juggling priorities, working across time zones, and keeping a busy investment team running smoothly.

You'll be part of our central Administrative Team, working closely with fellow Assistants to ensure seamless cover, and liaising with colleagues across our global offices — including San Francisco, New York, Hong Kong, Tokyo, Singapore, Seoul, Bogotá and Dublin — to coordinate meetings, calls and travel across the business.

What You'll Be Doing

  • Managing complex, multi-time-zone diaries for the two MDs and using MS Planner to drive team meetings, actions and priorities
  • Coordinating a range of recurring committees and calls, including senior partner calls
  • Producing agendas, compiling documentation and taking minutes for weekly team meetings
  • Leading event coordination for major industry conferences, plus arranging travel for external events and summits
  • Arranging national and international travel, including visas, transport and accommodation
  • Processing complex multi-currency expenses via Concur and logging G&E
  • Supporting onboarding for new joiners and acting as Co-Administrator for the AMEX app
  • Registering participants for AGMs, Advisory Boards and conference calls, and maintaining accurate logs
  • Conducting Know-Your-Client checks (World Check One, RepRisk) in support of Compliance
  • Tracking team and key stakeholder availability, including conference and annual leave schedules
  • Maintaining team data on SharePoint and supporting the monthly Vendor Management Audit process
  • Acting as a trusted, confidential point of liaison between Pantheon and its associates and business contacts
  • Providing broader administrative support and covering for other Assistants as needed

What We're Looking For

  • Strong working knowledge of Microsoft Office, including Planner, for running meetings and delegating actions
  • A flexible, proactive approach with the ability to manage multiple competing priorities
  • Excellent organisational skills and sound judgement in planning your own workload
  • High attention to detail and accuracy, even under pressure
  • Professionalism, discretion and confidentiality as second nature
  • Strong written and verbal communication skills
  • Willingness to learn the team's working practices and adapt quickly
  • Proven experience supporting a busy team, ideally within financial services or consulting
