Sr Content Operations and Project Manager Lead

Paperless Post is seeking a resourceful and proactive Sr. Content Operations and Project Manager to lead the strategic planning and execution of all Design, Production, and Merchandising projects. In this role, you will autonomously manage complex project timelines, optimize internal workflows through automation and AI integration, and act as a vital bridge between cross-functional teams like Marketing and Engineering. By monitoring operational KPIs and managing departmental budgets, you will ensure the seamless delivery of high-quality content in a fast-paced, creative environment.

Project Management

  • Collaborate with team leads to evaluate and strategically plan the capacity for all Design, Production, and Merchandising projects. This involves gathering all required projects in advance of the quarter start, defining the necessary resources, and working with team leads to rank work priorities against the available quarterly bandwidth.
  • Autonomously plan and manage all Design, Production, and Merchandising project timelines: set deadlines, account for cross-functional dependencies, monitor and report progress. 
  • Coordinate with cross-functional teams to guarantee the timely delivery of all dependent deliverables, including copy, partner materials, marketing assets and product enhancements.
  • Create easy to understand and self-serve reporting on project progress, (e.g., designs created and uploaded each week), moving from manual tracking to automated workflows.
  • Identify blockers and flag to team leads when projects are at risk providing workable solutions.
  • Provide clear and accurate project updates to team leads and company leadership.

Content Operations

  • Continuously reassess our internal processes and find opportunities to optimize our ways of working in collaboration with team leads. 
  • Identify opportunities to improve our admin systems and incorporate AI into our processes in order to improve efficiency. Define and track operational KPIs such as 'Time to Market and 'Cost per Design' to quantify the impact of process improvements.
  • Liaise with cross-functional teams to coordinate work - understand and plan for work that our team needs to deliver to support other teams’ priority projects and ensure that other teams are allocating resources to support our deliverables when necessary. This includes, coordinating timelines and deliverables with Marketing and Partnerships teams and understanding the product and engineering roadmap to ensure that dependency work is accounted for and planned. 
  • Lead Content-focused projects with cross-functional dependencies including working with the appropriate teams to scope the project, define the process, implement the process and create reporting.
  • Manage the contractor and Content team budget and support in creation of budgets for review with Finance and Content Team Leadership. 
  • Lead hiring for new contractors including: coordinating resume reviews, scheduling interviews, collecting feedback and coordinating the contract creation.

Skills Required:

  • 4-6 years of relevant experience
  • Must be highly organized, proactive, determined and resourceful
  • Must be a clear and proactive communicator
  • Must be comfortable working with many stakeholders including creative teams
  • Must be comfortable working in a fast-paced environment and pivoting quickly when circumstances change
  • Must be able to make sound decisions with partial information
  • Integrate deeply with our cross-departmental team to understand our content planning and creation processes, enabling the development of optimal workflows and offer workable solution when problems arise
  • Must have working knowledge of Jira, Airtable, Float, and Asana or similar
  • Experience and interest with AI tooling such as ChatGPT, Gemini, Claude or similar; proficiency is nice to have
  • Experience working with a CMS is a nice to have

The compensation range for this role is $110,000 - $125,000 USD. 

At Paperless Post, compensation is based on a number of factors, including geographic location, job-related skills, years of experience, and internal team banding. All full-time offer packages come with a base salary, equity component, and options for fully paid medical, dental, and vision benefits.
