Are you a detail-oriented professional with a passion for organization and efficiency? Do you thrive in a fast-paced environment where no two days are the same? We’re looking for a Project Administrator to support and coordinate a wide range of property initiatives. In this pivotal role, you’ll work closely with our Regional Facilities Manager, ownership and property teams to ensure projects are delivered on time, within budget, and to the highest standard.

- Compensation: up to $65,000/yr. depending on prior experience/qualifications
Your role as part of our Paragon family:
- Assist in developing detailed scopes of work for unit renovations, exterior improvements, amenity upgrades, and other capital projects.
- Draft, review, and manage vendor contracts and change orders in accordance with company policies.
- Communicate effectively with contractors to ensure smooth contract execution.
- Track project timelines, budgets, and documentation to ensure smooth execution and accountability.
- Perform periodic site visits to verify work quality, take progress photos, and report on status to both Regional Facilities Manager and Ownership.
- Maintain project files, logs, and documentation for all capital projects including contracts, invoices, change orders, and approvals. Ensure records are accurate and up to date in the centralized repository.
- Collaborate with contractors and community teams to minimize resident disruption during work and assist with scheduling.
- Communicate regularly with Regional Facilities Manager and Ownership to provide updates, flag issues, and ensure project alignment with strategic goals.
- Identify and help resolve any issues or obstacles that could impact project delivery.
- Support reporting needs and provide updates on project status, budget, and timelines as requested.
- Support punch list management and close-out processes for completed projects.
- Assist with compilation and analysis of previously completed projects.
- Create and maintain directory of preferred vendors/contractors.
- Provide recommendations for process enhancements and automation opportunities.
Position Requirements:
- High school diploma or equivalent, college-level education (preferred)
- Previous experience in project coordination, construction management, or administrative support within property management or a related field (preferred)
- Strong attention to detail
- Ability to interpret scopes of work, proposals, contracts, and construction-related documents.
- Computer proficiency, including MS Office: Word, Excel, Outlook and Adobe, Foxit software.
- YARDI experience (preferred)
- Exceptional customer service skills
- Professional appearance and demeanor
- Basic math skills
- Able to work independently with minimal guidance
- Reliable and dependable attendance at the work site
- Excellent verbal and written communication skills
- Ability to handle multiple tasks in a fast-paced environment and adapt to changing assignments and priorities
