Maintenance Administrative Coordinator

As a Maintenance Coordinator, you will be responsible for overseeing and coordinating the daily maintenance operations of Lakeside Village Apartments. Your role will ensure timely response to maintenance requests, efficient scheduling of repairs, and effective communication between tenants, vendors, and the property management team. You will play a key role in maintaining property standards, improving response times, and enhancing overall tenant satisfaction.

- Compensation: Up to $24/hr. depending on previous experience
Your role as part of our Paragon team!
- Schedule vendors for make ready homes/units, enter vendor purchase orders into Yardi and inspect vendor work; rescheduling if corrections are needed.
- Coordinate with leasing team/management to prioritize make ready unit repairs.
- Track make ready status of available homes/units on the Turnover Control Board.
- Ensure maintenance work orders are entered into a property management system for make ready repairs and occupied home/unit service requests, prioritize and assign to specific technician then manage the process/technicians to ensure timely completion and work meets expectations. Schedule vendors for service requests that cannot be completed in-house. Obtain resident feedback on work completed.
- Perform final inspection of market ready home/unit, determine if additional work is needed. Ensure proper function of front door keys. Notify property manager when ready for the manager final inspection.
- Schedule and coordinate Pre-Renewal Preventative Maintenance Inspections, Monthly/Quarterly Common Area Inspections.
- Manage maintenance staff to ensure inspections are thorough and logs are maintained accurately.
- Assist Maintenance Supervisor/Manager with performing move out inspections of vacant homes/units, determine property damages, take photos, upload photos to a property management system and prepare Move Out Checklist.
- Walk the community periodically and log any lease violations.
- Administer lease violations to residents and track status of correction or follow-up required.
- Partner with the Maintenance Supervisor to show residents their apartment prior to lease signing. During the tour, point out key functionality of HVAC, appliances and plumbing systems, and note items the new resident brings to your attention.
- Evaluate weather conditions, coordinate staff to clear walkways of snow and apply salt, maintain accurate snow log records.
- Monitor and/or control maintenance inventory and /or supplies, place supply orders with vendor, enter purchase orders into Yardi and assist with managing purchases to budget.
- Partner with Manager and/or Maintenance Supervisor for contract administration to include: determining scope of project, obtaining/evaluating competitive bids and confirm work met contract expectations.
- Attend training classes as necessary and assist with training and evaluating maintenance staff.
- Support and adhere to all safety policies and procedures.
- Performs other duties and special projects as assigned.

Position Requirements
- High school diploma or equivalent, college-level/trade school (strongly preferred)
- Valid driver’s license recommended
- Must have reliable transportation
- Ability to read blueprints and diagrams (preferred)
- Computer proficiency, including MS Office: Word, Excel, and Outlook
- Property management system experience preferred (YARDI or HappyCo)
- Knowledge of Fair Housing regulations preferred
