Position Summary:

As one of the top healthcare companies and Top Workplaces in the country, we are seeking a dedicated and experienced Payroll Specialist who is detail-oriented and passionate about Payroll to join our People Operations team.

Role Summary: The Payroll Manager will be responsible for overseeing all aspects of the payroll function, including but not limited to payroll setup and administration, payroll processing, reporting, and tax compliance.

This role can be based in the Philadelphia or Boston area.

Key Responsibilities:

  • Processing and ensuring the accuracy of multi-state payrolls for over 200 salaried and hourly employees on a semi-monthly basis. May process off cycle payrolls in certain circumstances.
  • Responsible for accurate entry of all payroll transactions, and other deductions/allowances.
  • Ensures accuracy and compliance with federal, state, and local payroll regulations
  • Handles all state and federal tax accounts for the company, including the set-up of new states.
  • Manages internal payroll controls; ensuring proper procedures, policies, and rules are documented and applied to all payroll activities.
  • Manages timely quarterly and annual tax reconciliations as well as W-2 and W-2C issuance must demonstrate a working knowledge of multi- jurisdictional, local and federal employment tax rules and regulations.
  • Assists with special projects, Workers Comp Audit, 401k Audit, as needed
  • Handles payroll-related inquiries and resolves any discrepancies in a timely manner. Generates and reviews payroll reports for accuracy and completeness.
  • Collaborates regularly with People Operations and Finance teams to ensure smooth payroll operations.
  • Processes year-end payroll, including W-2 preparation and accurate reporting.
  • Performs monthly, quarterly, and annual payroll audits, as directed.
  • Performs other duties as required.

Required Skills & Qualifications:

  • Bachelor’s degree with at least 5 years of related payroll experience
  • Proficient working knowledge of payroll/employee, wage and labor and tax administration; multi-state experience required.
  • Experience working within the payroll module of ADP WFN or similar system (preferred)
  • Experience implementing new payroll platforms a plus.
  • Familiarity with Human Resources policies and procedures.
  • Continuous improvement mindset, ability to improve processes and procedures as needed
  • Problem solving mentality- seeks to understand and willing to problem solve.
  • Strong understanding of payroll laws, regulations and best practices.
  • High attention to detail and accuracy.
  • Ability to handle confidential information with discretion.
  • Able to work in a fast-paced environment.
  • Ability to solve problems, exercise sound judgement in planning, scheduling, and completing assignments.
  • Ability to communicate effectively with others.
