About the job:
- We’re looking for a highly organized and proactive Shipping & Logistics Coordinator to manage the global shipping & schedule for Peak Design. In this role, you’ll own the shipping log that tracks all movement of goods from our contract manufacturers across five countries to seven+ warehouses and distributors around the world. You’ll coordinate bookings, optimize freight costs, and be the key point of contact for all things shipping.
- You’ll be based in our in-region Vietnam office in Ho Chi Minh City and work closely with contract manufacturers, freight forwarders, and internal teams. Experience in logistics, international freight, and vendor coordination are musts, as is a detail-oriented mindset and the ability to manage multiple moving parts with confidence and clarity.
What you’ll do:
- Maintain and update Peak Design’s master shipping log with monthly outbound shipments from our contract manufacturers to global warehouses and distributors.
- Coordinate all bookings (sea, air, and truck), optimizing for both cost and transit time by bidding out each shipment to 2–3 freight forwarders.
- Act as the main point of contact for freight forwarders, handling shipment planning, booking confirmation, documentation, and tracking.
- Communicate shipment status, tracking updates, and issues to internal and external stakeholders.
- Ensure freight documentation (including ASNs, tracking numbers, and shipping method) is received on time and logged correctly.
- Enforce compliance with our shipping log formatting and update protocols (color coding, timelines, change log use, etc.).
- Partner daily with contract manufacturers in Vietnam and across Asia to solve delays, changes, and shipping needs.
- Review and approve freight invoices for accuracy and cost consistency.
- Collaborate with operations, warehouse, and logistics teams to align shipping priorities with production and inventory needs.
- Monitor cargo ready dates from factory and communicate any changes to stakeholders
- Help to develop and implement a manufacturing scorecard for performance tracking
- Help to develop and implement a Freight Carrier Scorecard for performance tracking
- Facilitate and coordinate new product sample shipments
- Consolidate shipments across vendors to optimize CBM for cost saving whenever possible.
- Container loading optimization, visual 3D load plans or related software knowledge will be a plus.
Role requirements:
- 5+ years of experience in international shipping coordination or global logistics
- Proven experience managing bookings with freight forwarders and handling shipping documentation
- Skilled in Excel or Google Sheets, especially using formatting and change tracking
- Strong communication skills in English (Vietnamese a plus)
- Experience working with international manufacturers or within consumer product supply chains
- Based in Ho Chi Minh City or willing to work in-office at our Vietnam office (this is not a remote role and Vietnamese citizenship is a requirement).
- Able to manage freight bids and cost evaluations independently
- Occasional travel to regional contract manufacturers (Vietnam, Philippines, Indonesia)
- Familiar with working in ERP systems like Netsuite, SAP, Sage
Nice-to-haves:
- Experience working with US/EU-based consumer brands
- Familiarity with ASNs and carton labeling systems
- Prior experience working within high-growth or startup environments
- Working knowledge of shipping terms (Incoterms, CBM, FCL/LCL, etc.)
A day in the life:
- Review the shipping log and highlight changes based on manufacturer updates
- Communicate directly with freight forwarders to confirm shipment bookings and negotiate best rates
- Send tracking updates and booking summaries to the global operations team
- Collaborate with our in-region manufacturing team to resolve shipment delays or documentation issues
- Review freight invoices and escalate discrepancies
- Coordinate closely with internal operations and warehouse teams on delivery timing and container priorities
