Sr. Office Experience Manager
Sr. Office Experience Manager
The team + the role
The People Team at Pendo is responsible for the full employee journey, and for us, that journey starts the moment someone walks through the front door. The Office Experience team is the connective tissue that makes our offices feel alive: thoughtfully run, genuinely welcoming, and built around the details that turn a good day into a great one. We care about the small things, because the small things add up to a culture people want to show up for.
We're looking for a Sr. Office Experience Manager to own the day-to-day operations of our New York office while partnering closely with our global office experience team to maintain a consistent, high-quality presence across all Pendo locations. You'll manage everything from vendor relationships and facility maintenance to events, onboarding logistics, and the rhythm of the office itself. This is a highly visible, deeply cross-functional role. You'll interact with everyone from new hires on day one to executive leadership, and you'll need to bring the same level of professionalism and warmth to every interaction. This is a fully in-office role, five days per week.
This role is based in New York, NY.
What this looks like day-to-day
- Own day-to-day office operations: manage reception coverage, greet and direct guests, handle mail and shipping, receive deliveries, and ensure the front-of-house experience is consistently professional and welcoming.
- Manage facility vendors and maintenance requests end-to-end, create work orders, track project status, communicate with stakeholders, and keep budgets accurate and on time.
- Keep community spaces, conference rooms, and call booths orderly and well-stocked; proactively address wear and tear before it becomes a problem.
- Plan and execute company events, community meetings, and special projects, including post-hours events from initial direction through setup, execution, and cleanup.
- Coordinate "day one" new hire onboarding with the People Team, including presentations, equipment distribution, and catering; support offboarding logistics including equipment collection and shipping.
- Partner with the global office experience team to coordinate cross-office communication, meetings, events, and employee travel — maintaining a consistent standard across all Pendo locations.
- Work closely with Executive, IT, People, Marketing, and Revenue teams to support office logistics, visitor management, parking, and special project requests as they arise.
Who you are
Beyond the qualifications, we hire through a specific lens. These are the things we'll actually look for in how you talk about your work.
You're a builder, not a maintainer.
You're most energized when there isn't a clear path yet, and you get to define it. You don't wait for direction; you identify gaps, shape solutions, and drive them forward. At Pendo, great office experience managers don't simply keep the lights on. They operate as culture ambassadors, influencing how the office feels, proactively improving the environment, and making every employee and guest feel like they belong here.
You're genuinely AI-curious.
You're using AI tools for more than a chat. You’ve rewired how you work with an AI forward focus. You're faster, sharper, and more prolific because of it, and you bring that energy to everything from how you manage vendor communications, to how you track facility data, and how you plan and coordinate events at scale. We want someone who sees AI as a force multiplier.
Must-haves
- 5+ years of experience in office management, employee programming, event planning, hospitality, facilities, or community partnerships.
- Exceptional customer service instincts. You're proactive, professionally warm, and build strong cross-functional relationships at every level of the organization.
- Strong organizational and data tracking skills; comfortable managing multiple projects, vendors, and budgets simultaneously without dropping anything.
- Excellent written and verbal communication. You can engage clearly and appropriately with everyone from ICs to executive leadership, and have excellent professional discretion.
- The ability to prioritize and execute under pressure, staying composed and effective when multiple things demand your attention at once.
- Must be legally authorized to work in the United States without current or future sponsorship.
Nice-to-haves
- Experience in a high-growth startup environment — you're comfortable with ambiguity and adapt quickly when priorities shift.
- Knowledge of global office management best practices including health and safety, workplace design, and cross-cultural awareness.
- Experience managing workplace renovations or facility projects alongside day-to-day operations.
- A track record of independently owning projects end-to-end without needing close oversight — self-directed, but never operating in a vacuum.
- A genuine passion for the details that make a workplace feel exceptional, paired with the ability to zoom out and see the bigger picture.
