Talent Acquisition Coordinator
At Personalis, we are transforming the active management of cancer through breakthrough personalized testing. We aim to drive a new paradigm for cancer management, guiding care from biopsy through the life of the patient. Our highly sensitive assays combine tumor-and-normal profiling with proprietary algorithms to deliver advanced insights even as cancer evolves over time. Our products are designed to detect minimal residual disease (MRD) and recurrence at the earliest timepoints, enable selection of targeted therapies based on ultra-comprehensive genomic profiling, and enhance biomarker strategy for drug development. Personalis is based in Fremont, California.
The Talent Acquisition Coordinator will play a critical role in supporting the full recruitment lifecycle, ensuring a seamless candidate and hiring manager experience. Responsibilities will include administrative support, candidate engagement, process coordination, and recruitment operations.
Summary:
The Talent Acquisition Coordinator works collaboratively in a fast-paced, team environment with high attention to detail, advanced organizational & communication skills under minimal supervision. This role entails exercising sound judgment to resolve problems, following standard work processes, understanding and adapting to client needs, as well as maintaining confidentiality of information and data.
Days Onsite: Monday and Tuesday
Responsibilities:
- Create and manage job requisitions across internal and external job boards.
- Oversee the full interview lifecycle, including scheduling phone screens, virtual/onsite interviews, and debriefs. Proactively resolve scheduling conflicts and maintain timely communication with all stakeholders.
- Maintain and update the requisition report to track recruiting activity and provide insights through data-driven reporting and metrics.
- Manage all Greenhouse activities, including tool integrations, user profile creation, template updates, and job closures to support efficient recruiting workflows.
- Leverage Greenhouse capabilities to ensure data accuracy, streamline reporting, and enable scalable recruiting operations.
- Prepare and issue offer letters using ATS templates, send communications to candidates, and guide them through the offer acceptance process.
- Coordinate all pre-employment requirements, including scheduling reference checks, initiating and monitoring background checks, and IT/new hire ticket submissions.
- Collaborate with staffing agencies to deliver onboarding details and confirm hiring managers have submitted necessary purchase order (PO) requests.
- Compile TA metrics dashboard, including post-hire surveys for hiring managers and new hires to assess candidate experience and quality of hire. Generate quarterly and annual recruitment reports to support continuous improvement.
- Support special TA events, projects, and ad hoc recruiting initiatives as assigned.
Requirements:
- 2+ years working as a Talent Acquisition Coordinator or TA Operations
- Experience working in a pharma/biotech is desirable
- Technically adept, experienced with G-Suite and an applicant tracking system, Greenhouse, preferably
- Ability to multi-task, prioritize, and work independently with a high attention to detail in a fast-paced team environment
- Excellent communication skills, both verbal and written. Strong interpersonal skills and the ability to work across several layers of staff
The hiring range for this position is $65,000 to $80,000 per year, which may factor in various geographic regions. The base pay actually offered will take into account internal equity and also may vary depending on the candidate’s geographic region, job-related knowledge, skills, and experience among other factors. Our full-time regular positions also include an annual performance-based bonus (or a sales incentive plan) and long-term incentive units (equity) provided as part of our compensation package, in addition to a full range of medical, financial, and/or other benefits, dependent on the level and position offered.
