This role manages end-to-end procurement for new centers, oversees medical and operational vendor onboarding, supports account creation and access, and coordinates equipment planning, delivery, and CapEx tracking.

This position also leads procurement readiness during Operations Turnover (OT) week—including vendor training, equipment certifications (in partnership with the Petfolk Regulatory team), cold-chain and pharmacy order activation, and surplus inventory deployment.

This is a highly cross-functional individual contributor role partnering daily with Development (Design, Construction and Facilities), Launch, Regulatory, and Medical Operations. Strong organization, communication, and timeline management are essential.

ESSENTIAL DUTIES & RESPONSIBILITIES:

Procurement Management

  • Lead end-to-end procurement for all new Care Centers, ensuring accurate orders, timely delivery, and alignment with construction and opening timelines.

Vendor Account Creation & Management

  • Set up and manage all clinical and operational vendor accounts for new centers.
  • Complete required applications and coordinate account access, platform configurations, and issue resolution.

New Store Opening Readiness

  • Own the entire new store turnover process—from procurement through OT week—ensuring every item, space, system, and workflow is fully delivered, staged, functional, and ready for opening.
  • Maintain and continuously elevate the OT Week Guide, driving vendor readiness, training coordination, and safe workflows for receiving and managing temperature-sensitive inventory.

Equipment Management & CapEx Support

  • Partner with regulatory teams to coordinate delivery, installation, certification, and early troubleshooting for operational and medical equipment (alongside Regulatory).
  • Support standardized equipment packages, cost estimates, and CapEx planning.
  • Assist with troubleshooting existing capital equipment issues in partnership with Facilities, Learning and Development, and vendor partners.

Surplus Management

  • Track and manage surplus inventory and coordinate redistribution to support upcoming openings.

Cross-Functional Collaboration

  • Partner closely with Regulatory, Medical Ops, Construction, Facilities, and Launch to ensure smooth openings and clear ownership across workflows.

Vendor Operations & Process Improvement

  • Maintain strong vendor relationships and manage escalations.
  • Evolve procurement tools, SOPs, and workflows to support Petfolk’s scaling needs.

COMPETENCIES:

  • Exceptional attention to detail across procurement, account setup, and equipment workflows
  • Strong communication and partnership skills
  • Ability to manage multiple timelines and openings simultaneously
  • Comfort and proficiency in navigating digital platforms and systems
  • Resourceful problem-solving and rapid issue resolution
  • Highly collaborative across teams
  • Adaptable in a fast-paced, scaling environment
  • Strong sense of ownership and follow-through for opening-day readiness

EDUCATION AND EXPERIENCE:

  • Strong vendor management and communication skills
  • Highly organized; strong project and timeline management
  • Experience with construction, facilities, or new store setups a plus
  • Strong analytical skills; proficiency in Google Sheets/Excel
  • Veterinary, healthcare, retail, or multi-site experience strongly preferred

WORK ENVIRONMENT AND SALARY:

Why are you being asked to complete this form?

We are a federal contractor or subcontractor. The law requires us to provide equal employment opportunity to qualified people with disabilities. We have a goal of having at least 7% of our workers as people with disabilities. The law says we must measure our progress towards this goal. To do this, we must ask applicants and employees if they have a disability or have ever had one. People can become disabled, so we need to ask this question at least every five years.

Completing this form is voluntary, and we hope that you will choose to do so. Your answer is confidential. No one who makes hiring decisions will see it. Your decision to complete the form and your answer will not harm you in any way. If you want to learn more about the law or this form, visit the U.S. Department of Labor’s Office of Federal Contract Compliance Programs (OFCCP) website at www.dol.gov/ofccp.
