Position Summary:
Phynet Dermatology is seeking a detail-oriented and organized Administrative Assistant to join our dynamic Billing Department in Franklin, TN. The ideal candidate will play a crucial role in ensuring the accurate and timely processing of billing-related tasks, maintaining records, and providing exceptional administrative support to the department. This position offers the opportunity to contribute to the smooth functioning of our billing operations while working in a collaborative and fast-paced environment. The administrative assistant will also be responsible for assisting in the day-to-day operations of the organization, including but not limited to:
Essential Functions:
To perform effectively in this role, the candidate must fulfill the following duties with or without reasonable accommodations.
- Assist with the preparation and submission of billing statements, claims, and invoices to insurance providers and patients.
- Review billing documents for accuracy, completeness, and adherence to coding and billing guidelines.
- Maintain up-to-date knowledge of insurance policies, coding regulations, and industry updates to ensure accurate billing practices.
- Collaborate with internal teams to resolve billing discrepancies, coding errors, and other billing-related issues.
- Process incoming payments, update patient accounts, and maintain accurate records of financial transactions.
- Handle incoming inquiries from patients, insurance companies, and internal staff regarding billing matters in a professional and courteous manner.
- Prepare and generate financial reports, billing summaries, and performance metrics for departmental analysis.
- Maintain confidentiality of sensitive patient information and adhere to HIPAA regulations.
- Assist in organizing and managing departmental meetings, including scheduling, agenda preparation, and minutes.
- Manage and maintain electronic and physical filing systems, ensuring documents are organized and easily accessible.
- Provide general administrative support to the Billing Department, including data entry, document preparation, and other clerical tasks as needed.
- Contribute to process improvement initiatives by identifying areas for efficiency enhancement within the billing operations.
Knowledge, Skills & Responsibilities:
- High school diploma or equivalent; Associate's degree in a related field is a plus.
- Previous experience in a medical billing environment or administrative role is preferred.
- Familiarity with medical billing codes (CPT, ICD-10) and insurance terminology is advantageous.
- Proficiency in using billing software and electronic health records (EHR) systems.
- Strong attention to detail and accuracy in data entry and record-keeping.
- Excellent communication skills, both written and verbal.
- Ability to work effectively in a team-oriented environment and collaborate with cross-functional teams.
- Exceptional organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
- Discretion in handling sensitive and confidential information.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong problem-solving skills and a proactive attitude towards process improvement.
- Willingness to adapt to changing industry regulations and billing practices.
