Administrative Assistant
POSITION DESCRIPTION:
Pioneering Evolution is seeking a proactive and detail-oriented Administrative Assistant to provide high-level administrative support to our team in the Panama City, Florida area. The Administrative Assistant will play a critical role in ensuring smooth daily operations, managing office tasks, and supporting internal teams with scheduling, documentation, and communication. This role requires excellent organizational skills, strong attention to detail, and the ability to multitask in a dynamic environment. This is a full-time position based on-site in Panama City, Florida.
RESPONSIBILITIES:
- Perform general administrative duties, including calendar management, meeting coordination, travel arrangements, and expense reporting.
- Prepare and edit correspondence, reports, presentations, and other documents with accuracy and professionalism.
- Greet visitors and serve as the first point of contact for office-related inquiries.
- Organize and maintain physical and digital filing systems to ensure efficient document retrieval.
- Assist with onboarding logistics for new hires, including equipment, badge access, and training schedules.
- Support procurement and supply management by tracking inventory and ordering office supplies as needed.
- Coordinate with vendors and building management to support office maintenance and facility needs.
- Manage internal communication tools and help facilitate company-wide updates and announcements.
- Provide support to program managers and other staff with administrative tasks as required.
REQUIRED EXPERIENCE:
- High school diploma or equivalent; Associate’s or Bachelor’s degree preferred.
- 2–4 years of experience in an administrative or office support role.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and general office equipment.
- Excellent verbal and written communication skills.
- Strong organizational and time management skills with the ability to prioritize tasks.
- High degree of professionalism and discretion when handling sensitive information.
- Ability to work independently and as part of a team in a fast-paced environment.
- U.S. citizenship is required.
DESIRED EXPERIENCE:
- Experience working in a government contracting or DoD-support environment.
- Familiarity with travel coordination processes and expense tracking systems.
- Experience with collaborative tools such as Microsoft Teams, SharePoint, or Confluence.
- Knowledge of basic procurement or purchasing procedures.
