Overview
Podium is seeking an experienced Legal Operations Associate to support and enhance the operational efficiency of our Legal team as we assist our cross-functional partners. In this role, you will help manage legal processes, systems, and tools while contributing to the development and maintenance of legal workflows and resources. Reporting to the General Counsel, you will work across the company in a critical role, supporting a small legal team in various areas. This position is ideal for a detail-oriented and proactive individual who thrives in a dynamic environment and is eager to grow their expertise in legal operations.
What You Will Be Doing:
- Process Improvement: Help optimize legal workflows, build playbooks, and reduce SLA times to ensure operational efficiency and alignment with business objectives.
- System Administration: Support the administration and maintenance of key legal tools, including Contract Lifecycle Management (CLM) tools (e.g., Ironclad), AI tools (Westlaw CoCounsel), billing tools (e.g., SimpleLegal), task management systems (e.g., Jira), and document repositories.
- Contract Management Support: Assist with the review, preparation, and management of agreements such as NDAs, procurement agreements, client contracts, and vendor agreements.
- Cross-Functional Collaboration: Coordinate with teams such as Sales, Customer Success, Finance, Procurement, Product, and Security to provide legal support throughout the contract lifecycle.
- Legal Research & Documentation: Conduct research on various legal topics and assist in drafting and maintaining internal templates, playbooks, policies, and training materials.
- Compliance & Reporting: Track key compliance-related obligations and deadlines, including state and regulatory filings, certifications, and regulatory notices, ensuring timely submissions and updates.
- Administrative Support: Provide general administrative support to the Legal team, including maintaining accurate records, generating reports, organizing legal documents, and managing the legal budget.
- Special Projects: Assist with ad hoc projects, including corporate governance support, audits, privacy initiatives, and litigation support, as needed.
What You Should Have:
- Education: Bachelor’s degree in Business Law, Pre-Law, Business Management, or a related field.
- Experience: 2+ years of legal operations experience, preferably in a fast-paced corporate environment for a U.S. based company.
- Technical Proficiency: Experience using Salesforce and contract management software (e.g., Ironclad, Zip, Jira, SimpleLegal, Thomson Reuters).
- Process Optimization: Proven ability to create, refine, and scale legal processes, policies, and systems to improve operational efficiency.
- Communication Skills: Excellent english based written and verbal communication skills with a highly responsive, service-oriented mindset.
- Teamwork: Ability to work independently and collaboratively with cross-functional teams.
- Organization & Time Management: Strong organizational skills with the ability to manage multiple priorities and meet tight deadlines.
- Contract Expertise: Working knowledge of go-to-market processes, contract negotiation, and contract management.
Preferred Qualifications:
- Paralegal Experience: Prior experience as a paralegal is highly beneficial.
- Industry Experience: Experience supporting legal operations in the SaaS or technology sector is a plus.
