The Japan Management Office supports our long/short discretionary investment professionals’ success and development and oversees business operations, including critical support functions and relationships with counterparties and regulators in Japan. This group also works closely with senior leadership teams across our global offices to help define the firm’s business strategy in Japan.
WHAT YOU’LL DO
We are looking for an executive assistant who will serve as the primary point of contact for internal and external constituencies on all matters pertaining to the Japan Management Office. Specifically, you will:
• Assist the Japan Management Team with a wide variety of administrative tasks including calendar management, expense reporting, preparing sensitive or confidential correspondence , arranging complex and detailed travel plans, itineraries, and agendas, and compiling documents for meetings
• Ensure that issues and concerns addressed to the Japan Management Team are fielded, prioritized, and followed up on in a professional and timely manner. This may include issues that are sensitive or confidential in nature.
• Provide a bridge for smooth communication between the Japan Management Team and internal departments, working closely and effectively with the Japan Management Team to keep them well informed of upcoming commitments and responsibilities and followup accordingly
• Successfully complete critical aspects of deliverables with a hands-on approach, including drafting acknowledgement letters, personal correspondence, and other tasks
• Prioritize conflicting needs, handling matters expeditiously, proactively, and following through on projects to completion, often with deadline pressures
• Assist the Point72 APAC Academy Recruiting team with tasks and events
• Help visitors from overseas offices acclimate when visiting the Japan office
• Work on ad-hoc requests and special projects as needed
WHAT’S REQUIRED
• 5+ experience supporting C-Level executives
• Strong interpersonal skills and the ability to build relationships with employees
• Ability to exercise sound judgement in a variety of situations and to demonstrate proactive approaches to problem-solving
The ability to be a resourceful team-player while also working well independently
• Proven ability to handle confidential information with discretion
• Excellent client service and communication skills, both written and verbal
• Demonstrated ability to achieve high performance goals and meet deadlines in a fast-paced environment
• Bilingual in both Japanese and English
• Prior experience working in a global organization and managing global stakeholders
• Proficiency in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat, Zoom and Webex
