Mailroom Associate

Receive, open, and sort incoming physical mail and packages.

Review, organize, and distribute electronically scanned mail.

Identify and correctly route mail related to healthcare claims, member correspondence, provider communications, and internal departments.

Maintain accurate logs of received and distributed items.

Prepare outgoing mail, including batching, labeling, and ensuring timely delivery or postage.

Coordinate with internal teams to ensure critical documents are routed promptly.

Maintain confidentiality of all protected health information (PHI) in accordance with HIPAA regulations.

Support scanning, indexing, and archiving of documents as needed.

Assist in periodic audits to confirm mail handling accuracy and compliance.

Keep the mailroom area clean, organized, and properly stocked with supplies.

High school diploma or equivalent required.

1–2 years of experience in a mailroom, clerical, or administrative support role preferred.

Experience in a TPA, healthcare, or insurance environment a strong plus.

Strong organizational and time management skills with a high level of attention to detail.

Basic computer literacy (Microsoft Outlook, Excel, and scanning software).

Ability to handle confidential and time-sensitive information responsibly.

Strong communication and interpersonal skills.

Dependable and punctual, with the ability to work independently and as part of a team.

Ability to lift up to 25 lbs occasionally.

Prolonged periods of standing or sitting while sorting and scanning mail.
Individual compensation will be commensurate with the candidate's experience and qualifications. Certain roles may be eligible for additional compensation, including bonuses, and merit increases. Additionally, certain roles have the opportunity to receive sales commissions that are based on the terms of the sales commission plan applicable to the role.
