The Senior Recruiting Specialist blends coordination excellence, operational rigor, sourcing support, ATS stewardship, and employment branding to strengthen our entire recruiting function. You will be a key partner to the Recruiting Team and play a critical role in how candidates experience Possible.
What You’ll Own
Interview Coordination & Scheduling
- Manage end-to-end interview scheduling across all roles with precision and responsiveness.
- Leverage automation and AI tools to improve efficiency and reduce manual work.
- Train hiring managers and interview teams on self-scheduling features and best practices to increase speed.
- Maintain consistent communication with candidates to ensure a seamless, professional experience.
Recruiting Operations & ATS Ownership
- Own Greenhouse, including workflows, access management, pipeline cleanliness, data accuracy, and tool optimization.
- Ensure we are maximizing capabilities across ATS, CRM, and integrated recruiting tools.
- Produce accurate, consistent reporting and basic metrics to support team insights and decision-making.
- Maintain a structured CRM outreach program, including:
- Quarterly touchpoints to top prospects
- Targeted messages to audiences aligned with newly opened roles
- Periodic engagement updates about Possible
Employment Branding & Events
- Support event planning, vendor coordination, attendee logistics, and onsite hosting to build awareness in the Seattle market.
- Help drive additional brand initiatives, including:
- New-hire announcements
- Glassdoor review campaigns
- Project management of employment-related content and advertising
- Support marketing-style outreach to ensure consistent employer brand visibility.
Candidate & Stakeholder Experience
- Partner with candidates, executives, leaders, and interviewers to ensure a cohesive and positive hiring experience.
- Serve as a trusted representative of Possible’s culture, mission, and values throughout the recruiting process.
Requirements
- 3+ years of recruiting coordinator or similar experience using Greenhouse, Lever, Scalish.io, or another ATS
- Strong English communication skills (written and verbal)
- Ability to work during Pacific Time Zone business hours
- Proficiency with Greenhouse and Google Workspace
- Excellent organizational skills, follow-through, and time management
Bonus Skills
- Interest in Human Resources as a long-term career path
- Experience working in distributed or remote environments
- Background in marketing, recruiting, sales, or sourcing
- Passion for employment branding or talent attraction initiatives
