The Opportunity
Postman is seeking a Program Coordinator to support the Enablement team’s growing portfolio of events, trainings, and internal programs. This is a highly collaborative and operations-focused role that plays a critical part in keeping our programs running smoothly and efficiently. You’ll support the team by managing event logistics, coordinating training sessions, booking travel and venues, and keeping us organized across multiple workstreams.
The ideal candidate is detail-oriented, thrives on organization, and enjoys being the person who makes things happen behind the scenes.
What You'll Do
- Event & Logistics Coordination:
Support scheduling and logistics for internal and external events, including instructor-led trainings, workshops, customer sessions, new hire trainings and team offsites. This includes booking venues/hotels, sending invites, organizing materials, and managing attendee communications. - Calendar & Scheduling Support:
Help coordinate complex schedules across global time zones, manage invites for recurring programs, and proactively ensure the team’s calendar is accurate and up to date. - Travel & Booking Assistance:
Coordinate travel and accommodations for facilitators, team members, and guest speakers for in-person events and trainings. - Team Operations:
Help keep the team organized by maintaining shared documentation, updating internal tracking tools (like Airtable and Jira), and providing general admin support across multiple programs. - Vendor & Partner Coordination:
Support communications with external partners and vendors to confirm logistics, troubleshoot issues, and ensure smooth execution of scheduled events. - Internal Communication:
Assist in drafting and distributing event invites, reminders, and program updates to stakeholders and team members.
About You
- 1–3 years of experience in coordination, event planning, team operations, or program support
- Excellent organizational skills with a sharp eye for detail
- Comfortable juggling multiple moving parts and meeting tight deadlines
- Strong communication skills — both written and verbal
- Proficiency with tools like Google Workspace, Airtable (or similar), and calendar management
- A team player who’s proactive, resourceful, and solution-oriented
- Comfortable working remotely and independently across time zones
Actual compensation is based on the candidate's skills, qualifications, and experience. This is a contract position and is exempt benefits. This is a hybrid role based in our San Francisco office.
