Job Summary: 

The Personal Injury Litigation Assistant will work closely with our Personal Injury Paralegal, providing high-quality litigation and administrative support to the legal team in a fast-paced and demanding environment. This role is central to keeping cases moving—managing deadlines, court filings, service, records collection, and client communication—and requires a high level of attention to detail with minimal error. 

This is a full-time position based in our Chicago office that will work a hybrid schedule of three (3) days per week in the office and two (2) days remote. Compensation for this position includes an hourly rate of $25 to $27, commensurate with experience, plus the role is eligible for a year-end discretionary bonus based on performance and benefits.  

Key Responsibilities:  

  • Support the Personal Injury Paralegal and Personal Injury Attorneys with the day-to-day management of an active litigation caseload. 
  • Prepare, edit, format, and proofread a wide variety of legal documents and correspondence, including transcription from dictation, discovery responses, medical record summaries, exhibits, binders, and tables of contents. 
  • Review court dockets to track, calendar, and monitor case deadlines, court dates, hearings, and discovery cutoffs and to provide timely reminders to the legal team. 
  • Draft and file pleadings using Illinois state (e.g., Odyssey) e-filing systems. 
  • Coordinate and record proper service of pleadings, discovery, complaints, and other documents. 
  • Schedule court reporters and coordinate depositions. 
  • Request and track subpoena responses for medical records and other third-party records, including communicating with providers, records custodians, and record-retrieval vendors. 
  • Communicate with clients by phone and email to gather information, provide case status updates, schedule appointments, and obtain signatures and supporting documentation. 
  • Maintain and organize physical and electronic case files, ensuring completeness and accuracy of electronic files in the firm's document management system. 
  • Coordinate with courts, opposing counsel, process servers, and outside vendors as needed. 
  • Perform accurate data entry and maintain records in the firm's case management system and provide general administrative support to the legal team. 
  • Other duties as assigned. 

Required Knowledge, Skills, and Abilities: 

  • Excellent written and verbal communication skills, including a professional and empathetic telephone manner when working with clients. 
  • Strong organizational skills and attention to detail, with the ability to manage multiple deadlines simultaneously. 
  • Knowledge of Illinois court rules and procedures is required. 
  • Proficiency in taking and transcribing dictation. 
  • Excellent time-management skills with a proven ability to meet time-sensitive deadlines and adapt to changing priorities. 
  • Ability to function well under pressure and in a fast-paced, demanding environment. 
  • Ability to maintain confidentiality and exercise discretion and good judgment. 
  • Ability to work independently and as part of a team and to take direction from the Personal Injury Paralegal. 
  • A positive attitude, strong follow-through, and proactive problem-solving. 

Required Technical Skills: 

  • Superior working knowledge of Microsoft Word, Excel, and Outlook. 
  • Proficiency in Adobe.  
  • Experience with the Odyssey state e-filing system.  

Education/Experience: 

  • Minimum of 2 years of litigation legal assistant experience required. 
  • Bachelor's degree preferred; associate degree required.
