Artist Experience Coordinator PT
Powerhouse Arts is a not-for-profit organization committed to creative expression. Housed in a purpose-built-facility in Brooklyn, the organization hosts an extended network of art and fabrication professionals and educators who work together to co-create and share artistic practices vital to the well-being of artists and the communities to which they serve. Our new facilities house fabrication services, production services, production spaces, and member workshops for artisans.
We are seeking a Part-Time Artist Experience Coordinator who will be responsible for facilitating the daily artist experience at Powerhouse Arts and will support all facets of the visitor service operations throughout Powerhouse, delivering a gracious and enriching experience for all visitors. This role will report to the Artist Experience Manager.
Areas of responsibility include:
Visitor Experience:
- As the first line of contact for visitors this role will deliver superior customer service, providing a gracious welcome and smooth check-in process, to every visitor.
- Greet and welcome visitors upon their arrival and help orient them to Powerhouse by letting them know the wide range of programming and activities available.
- Administer the check-in process with Powerhouse’s strategic goal of deepening engagement with visitors at top of mind, collecting contact information, and encouraging visitors to keep in touch with Powerhouse through our newsletter, website, and social media platforms.
- Maintain security by following procedures such as liaising with facilities team to troubleshoot operational issues including keycards, elevators, doors, etc, as well as monitoring logbooks, and issuing visitor badges.
- Work with colleagues to help administer the visitor experience operations for public programs, and special events.
- Duties include checking in visitors, guiding visitors, answering general questions, processing memberships, and working with other frontline staff from the café, security, and public programs to ensure every visitor is welcomed.
- Take ownership of the lobby space, keeping the public areas clean and tidy for incoming visitors.
- Supports Powerhouse Arts administrative duties and special projects as necessary. This involves a variety of staff support for other departments. Special projects may include but are not limited to receipt reconciliation support, programmatic support, event support, and more.
- Answer and direct phone calls in a polite and friendly manner.
- Triage Powerhouse Arts info email and forward to the appropriate staff/department,
- Leverage membership system, Mementos, to streamline check-in processes.
- Graciously lead public tours, leverage the tour sign-up system in Mementos, familiarize guests with the history of the building, fabrication facilities, and programming.
Artist Intake:
- Input fabrication client inquiries in project management software and liaise with Shop Directors
- Field requests for shop tours, info sessions, and meetings
- Field project inquiries in a timely manner, responding to questions, and guiding artists to the appropriate shop/service
- Update and maintain client and project data in the database on an ongoing basis to ensure accurate and up-to-date record keeping
- Respond to Powerhouse Arts general info email and incoming calls, responding and forwarding inquiries to the appropriate staff/department

- Professionalism, patience, and manners with a diverse population.
- Strong organizational skills with the ability to prioritize required.
- Strong attention to detail and administrative skills
- Ability to enforce Powerhouse Arts policies and procedures while maintaining superior customer service.
- Must be able to work in a collaborative team environment, but also independently as needed.
- Creative, organized, thorough, and resourceful
- Proficient in Box, Microsoft Word, Google suites
- Flexibility on evenings and weekends is required. Flexibility to adjust schedules for emergency shift coverage is expected.

Hours + Compensation: The shifts available for this position will be Sunday: 9:40am -5:40pm, Monday11:30am-7:30pm, Tuesday 11:30am-7:30pm, and Wednesday: 11:30am-7:30pm. 32 hours a week total. The hourly rate for this position is $22.50. Benefits include employer-sponsored retirement plan, generous paid vacation and sick time, and CitiBike membership.
