
Venue Rental Sales Manager
Powerhouse Arts is a not-for-profit organization committed to creative expression. Housed in a purpose-built-facility in Brooklyn, the organization hosts an extended network of art and fabrication professionals and educators who work together to co-create and share artistic practices vital to the well-being of artists and the communities to which they serve. Our new facilities house fabrication services, production services, production spaces, and member workshops for artisans. In 2025, PHA expects to welcome in thousands of patrons as the building becomes a center for art and performance. Over the next few years, PHA will see growth and expansion in all areas of business and an increased focus on revenue generation.
Powerhouse is seeking a Venue Rental Sales Manager to oversee the administration of the Venue Rental Program. This role includes managing client communication, scheduling, and document preparation—from initial inquiry and site visits to event execution and final closeout. The ideal candidate will ensure high customer satisfaction and repeat business through excellent client management and prompt, detail-oriented service.
Responsibilities:
Client Management + Rental Program
- Partner with the Director of Event Production and Operations and Events Business Operations Director to manage event leads, drive sales, and coordinate calendar planning
- Respond promptly and professionally to all venue rental inquiries
- Maintain proactive, ongoing communication with prospective clients throughout the sales process
- Ensure all rental and partner event details are accurately entered and regularly updated in the Momentus database
- Generate and share weekly rental lead reports, monthly income projections and space utilization reports with Senior Team
- Schedule and lead initial site visits, coordinate follow-up visits in partnership with the Director of Event Production and Operations and Events Business Operations Director
- Conduct regular competitive analyses and foster relationships with comparable venues
- Draft and issue rental quotes, agreements, and invoices in collaboration with the Director of Event Production and Operations and Events Business Operations Director
- Advise clients on insurance requirements and manage collection and filing of Certificates of Insurance (COIs) for all bookings
- Build and sustain strong relationships with rental clients, producers, artists, nonprofit neighbors, and vendors (including caterers, florists, A/V, lighting, and more)
- Collaborate with the communications team to develop and maintain marketing materials for the rental program, including print collateral and website content
Events & Database Management
- Support internal Events Production and Operations teams to manage day-to-day events operations, ensuring client’s satisfaction and repeat business.
- Attend event meetings with internal staff and external partners to prepare for upcoming events
- Assist Event Production & Operations Director and Events Business Operations Director in providing instructions and pass-on information to Visitor Experience, Cleaning, and Security Teams as it relates to events
- Ensure information for each event is distributed internally in a timely manner
- Ensure Health + Safety, DOB, FDNY, and OSHA codes are always adhered as it relates to events
- Take departmental ownership of Venue Calendar Database: Momentus
- Enter all client, event, and production details, updating regularly as information becomes available via client communications
- Ensure a high level of data accuracy at all times
- Collaborate with Tech Services and Momentus on:
- Support needs, arranging/calendaring application upgrades/downtimes, etc.
- Attend product development and roadmap/release info-sessions/seminars
- Identify new, and ongoing, requirements to support business needs, including custom reports, dashboards, fields, etc.
Other Responsibilities:
- Attend staff meetings and management training sessions

- 3+ years of relevant experience in event sales and venue management support.
- Client-focused mindset with a positive, caring approach to client and guest satisfaction.
- Highly organized and detail-oriented, with strong time management skills.
- Proactive problem-solver and clear communicator, able to anticipate needs and address challenges effectively.
- Strong written and verbal communication skills, including excellent proofreading and editing abilities.
- Extensive experience drafting, editing, and managing professional correspondence.
- Flexible, creative, thorough, and resourceful in adapting to evolving needs and priorities.
- Technically proficient with G Suite, Microsoft Office Suite, Mac OS, and Box platforms.
- CRM expertise with prior sales database experience; Momentus/Ungerboeck proficiency required.
- Comfortable with communication and project management tools, including Asana, Zoom, and Slack.
- Technical theatre experience considered a plus.
Compensation & Benefits: Salary range is $60,000-$70,000 and commensurate with experience. Benefits include health insurance, an employer-sponsored retirement plan, generous paid vacation, and a Citibike membership.
