Executive Assistant to CEO and EVP/General Counsel (Maternity Leave Coverage – 6–7 Month Contract)

Location: Pasadena, CA

We’re seeking a proactive and highly organized Executive Assistant to temporarily support our CEO and EVP/General Counsel while our current EA is on maternity leave.

The ideal candidate thrives in a fast-paced, mission-driven environment, thinks multiple steps ahead, and handles sensitive information with discretion and professionalism. This is a highly visible role that serves as an extension of the executives and is central to ensuring seamless operations at the highest levels of the organization.

Key Responsibilities

Executive Support

  • Provide high-level administrative support to the CEO and EVP/General Counsel (and light support to an additional executive overseeing Government Affairs).
  • Manage complex calendars across multiple time zones; schedule, confirm, and coordinate meetings with internal teams, partners, board members, and high-level stakeholders.
  • Ensure daily, weekly, and quarterly schedules are optimized and aligned with executive priorities.
  • Monitor and flag priority items across email, Slack, and other communication channels.
  • Arrange detailed travel itineraries and logistical planning for multi-city trips, including executive off-sites, board meetings, and industry events.

Board & Advisor Coordination

  • Support logistics and communication with board member offices as needed (e.g., coordinating schedules, travel, or material preparation).
  • Assist with internal coordination for board meetings and pre-read materials in partnership with the CEO and other internal stakeholders.
  • Engage directly with external advisors to coordinate meeting logistics and support follow-up actions.
  • Maintain discretion and professionalism in all external-facing interactions on behalf of the executive office.

Meeting Preparation & Materials

  • Own the preparation of executive materials, including briefing documents, meeting agendas, and company decks.
  • Collaborate with cross-functional teams to create and present visually polished slides for internal and external meetings.
  • Track deliverables and deadlines related to leadership workshops, off-sites, and strategic planning.

Company Events & Internal Coordination

  • Help organize internal and executive-level meetings, including quarterly off-sites.
  • Partner with HR on company events hosted by the CEO or executive team.

  • Highly organized, with excellent attention to detail and ability to anticipate needs.
  • Poised and professional; capable of handling sensitive information with integrity and discretion.
  • Clear and confident communicator — both verbal and written.
  • Relationship-oriented and approachable; builds trust across levels and functions.
  • Composed and calm under pressure; able to juggle multiple priorities.
  • Strong sense of judgment and self-direction.
