The role of Senior Executive and Personal Assistant is a key leadership position that requires exceptional judgment across a variety of situations. This person is responsible for providing unrivaled support to our CEO while simultaneously supporting the day-to-day needs of Proto as a whole. This includes, but is not limited to, needs concerning operations and internal processes, strategic planning, client management, personal assistance, and ad hoc special projects. A successful candidate must convey strong communication skills as they will serve as the liaison between the CEO and other executives, staff, clients, stakeholders, and immediate family. Emotional maturity, trustworthiness, flexibility, and confidence to excel in a dynamic high-performance, high-growth environment are essential for success in this role.
What you will do:
- Acts as a confidant to the CEO by proactively briefing them in advance of meetings, takes notes as needed, completes/delegates action items, and is an active participant and knowledgeable resource;
- Provides strategic and comprehensive scheduling and logistical support to the CEO and oversees internal/external meetings, travel bookings, reservations, and other ad hoc administrative needs;
- Guides internal initiatives and priorities, always keeping a finger on the pulse of Proto’s needs;
- Identifies and facilitates the development of efficient work processes that maximize the CEOs time, including weekly and quarterly updates, goal-tracking, and team meetings;
- Communicates directly, and on behalf of the CEO with staff, clients, stakeholders, immediate family members, and other parties as directed;
- Proactively manages and integrates personal appointments, travel planning, errands, bookings/reservations, etc. within work-related requests and demands;
- Performs ad hoc tasks and leads special projects that are highly confidential and complex;
- Ensures the CEO actively maintains their network by proactively recommending connections and staying on top of communications across their vast set of relationships, both professional and personal.
Qualifications
- 8+ years in an executive assistant role in a fast-paced entrepreneurial environment, ideally in a client service industry;
- Must have work proficiency in Slack, G-Suite, Outlook;
- Demonstrated commitment to executive support as a long-term career path, not a temporary stepping stone;
- Due to the leadership support nature of this role, all Senior EAs should live in the New York tri-state area and be willing and available to work onsite with our C-Suite, as requested.
In New York City, the base salary for this position is $115-130K. Individual compensation varies based on job-related factors including years of relevant skills and experience, level of responsibility, and qualifications. This position reports into our CEO, CIO, Co-Founder and will be a member of the Operations team led by our COO, Co-Founder.
Proto is a New York based company with offices at 3 World Trade. Our staff is encouraged to work-from-office on days of their choosing based on personal preferences, collaboration moments, client meetings, and all-company gatherings. We also support workplace flexibility and have made work-from-anywhere available to all staff (within a 3-hour time zone of eastern standard time zone). Our core business hours are generally 9:30am-6:00pm EST; however, due to our client service model and collaborative working culture, individual working hours fluctuate to reflect client deadlines and deliverables.
