Role: Associate Bid Specialist

Location: Mohali / Gurugram
Function: Presales / Bid Management
Shift: 5:00 PM – 2:00 AM IST (US business hours)
Employment Type: Full-time


Role Summary

Pearce Services is hiring an Associate Bid Specialist who will help prepare and submit competitive bids for telecom and infrastructure projects. The role requires strong attention to detail, good writing skills, and the ability to coordinate with multiple teams.

Ideal for someone with 2–4 years of experience in bid coordination, proposal management, or presales support.


Key Responsibilities

Bid & Proposal Management

  • Support the complete bid process for small to mid-sized opportunities.
  • Review RFI/RFQ/RFP documents and extract requirements.
  • Create bid plans, timelines, compliance checklists, and trackers.
  • Ensure proposals are complete, accurate, and follow client instructions.

Proposal Writing & Content

  • Draft and format proposal content.
  • Combine inputs from different teams into one clear document.
  • Follow company branding and formatting standards.
  • Maintain proposal templates and content libraries.

Cross-Functional Coordination

  • Work with solution architects, pricing, operations, finance, and legal teams.
  • Organize kick-off meetings and internal reviews.
  • Ensure all teams meet deadlines and deliver their parts on time.

Bid Governance & Compliance

  • Support bid qualification and review cycles.
  • Ensure proposals meet compliance and contractual guidelines.
  • Identify risks or missing information and escalate early.

Commercial & Submission Support

  • Coordinate with finance and pricing teams for commercial inputs.
  • Ensure technical and commercial sections match.
  • Prepare and package final submissions as per client format.

Tracking & Improvement

  • Track all bids, deadlines, and progress.
  • Maintain records of submitted bids and outcomes.
  • Suggest improvements for processes and templates.

First 6 Months – What Success Looks Like

  • Support active bids with guidance from senior team members.
  • Understand internal processes, templates, and tools.
  • Build relationships with cross-functional teams.
  • Meet deadlines and ensure submissions are complete and ready.
  • Gradually take ownership of small to mid-sized bids.

Required Qualifications

Education

  • Bachelor’s degree in Business, Engineering, Communications, or similar fields.

Experience

  • 2–4 years in bid management, proposal coordination, or presales support.
  • Experience handling RFP/RFQ/RFI processes.
  • Exposure to telecom, IT services, infrastructure, or B2B environments.
  • Experience with US clients is a plus.

Tools

  • MS Office (Excel, Word, PowerPoint).
  • SharePoint or similar platforms.
  • Proposal tools like RFPIO, Loopio, Qvidian (nice to have).
  • Familiarity with AI tools for drafting or research (preferred).
