Role Overview

Our London office was established in 2015 to service the UK, Europe, the Middle East & Africa, and is a key growth area for the firm. The position will support the EMEA Business Development & Client Services team in London and Europe, while interacting and coordinating with the Business Development & Client Service, Legal & Compliance, and Operations teams based in NY/Dublin and the European/UK Compliance entities. This role reports to the Client Service Operations Manager EMEA and will work alongside the other Business Development & Client Services Assistant. The ideal candidate will have excellent organization skills, be a good communicator, have a keen eye for detail, and the ability to manage multiple tasks and deadlines efficiently. Additionally, the ability to work in a small team and collaborate across offices and time zones will be important.

Responsibilities

  • Coordinate meetings, calls, and client interactions, including scheduling, communications, conference room bookings, videoconferencing, catering, and preparation of meeting materials.
  • Manage complex travel arrangements and logistics for the UK/EMEA Business Development & Client Services team, including flights, accommodation, transportation, and itineraries.
  • Plan and coordinate business events, client meetings, and other projects to support business development activities.
  • Develop, coordinate, and distribute recurring client and prospect reporting, including commentaries, statements, questionnaires, and other communications, ensuring delivery within agreed deadlines.
  • Liaise with internal stakeholders, including Compliance, Sales, and the RFP team, to gather information, maintain Salesforce records, and provide approved marketing materials and other support to the UK/EMEA Business Development & Client Services team.
  • Coordinate financial and legal requests, process team expenses through Expensify, and support other operational and administrative activities.
  • Assist with office management, including maintaining supplies, overseeing postroom operations, and supporting the smooth running of the London office.
  • Provide backup support to the London Business Development & Client Services Support team and assist with ad hoc projects and tasks as required.

Duties, responsibilities, and activities may change from time to time in line with business needs.

Qualifications

  • College Degree (preferred)
  • Client reporting experience in financial services is preferred
  • Demonstrates exceptional emotional intelligence, sound judgment, and a relentless work ethic, with the ability to anticipate needs, and execute flawlessly in a high-performance environment
  • Exhibits flexibility and the ability to adapt quickly to shifting priorities, stepping in wherever needed to ensure seamless support
  • Exceptional attention to detail and exemplary follow-through
  • Strong interpersonal skills, with the ability to manage diverse personalities and competing demands
  • Comfortable working with extensive data and charts.
  • Must be proficient with Microsoft Office Suite: Outlook, Excel, PowerPoint
  • Must be able to work Monday-Friday 9:00am-5:30pm and on-site 4 days a week
