WHAT YOU’LL WORK ON

Ready to own one of the most critical systems in a scaling B2B SaaS company? In this role, you will join Qualia’s Revenue Operations (RevOps) team, which provides the resources and tools that drive our accelerating momentum.

As the Billing Systems & Operations Lead, you will take full ownership of Qualia’s billing platform, serving as the go-to expert and operational owner across the entire billing lifecycle. In the near term, you will project manage a major billing system initiative, driving the cross-functional effort to stabilize and optimize the platform. Once the system is on solid footing, you will serve as the long-term platform owner—maintaining, optimizing, and evolving it as Qualia’s pricing, packaging, and payment structures grow in complexity. You will be responsible for answering critical business questions, such as:

  • How does a proposed new pricing or billing structure work within our architecture, and what are the limitations or risks?
  • How do we build a billing ecosystem that is robust and automated enough to scale with the business?
  • What is the downstream impact of product and packaging changes on provisioning, invoicing, and revenue recognition?
  • How do we ensure all stakeholders—finance, GTM, product, and engineering—have the billing data visibility they need?

RESPONSIBILITIES

  • Billing Platform Mastery & Optimization: Own all aspects of our billing platform’s configuration, optimization, and expansion. Think “Salesforce admin” for billing—you know every workflow, edge case, and integration point. Build and maintain monitoring and alerting that surfaces data quality issues before they reach customers. Drive process standardization alongside Finance and Deal Desk to reduce billing complexity and manual intervention. Continuously refine the system to improve accuracy, automation, and reliability across the invoicing and billing lifecycle.
  • Billing Systems Project Management: Lead the stabilization and re-deployment of the billing platform in your first 6-12 months. Scope requirements with all affected teams, build the project plan, align stakeholders, track execution, and remove blockers. Own end-to-end impact assessments for any billing system change—mapping downstream dependencies across customer-facing teams and ensuring training and enablement are built into every rollout, not treated as afterthoughts.
  • Cross-Functional Partnership & Advisory: Serve as the connective tissue between finance, product, engineering, and GTM teams on all billing-related matters. Advise on how new products, discounting frameworks, payment structures, and bookings policies will function within the billing architecture. Proactively flag risks when business decisions could create downstream complexity. Own the vendor relationship, holding them accountable to SLAs and advocating for Qualia’s needs on the roadmap.
  • Billing Operations Leadership: Serve as the source of truth for all things billing. Build comprehensive operational documentation—runbooks, configuration guides, and process maps—so that billing system knowledge is institutional, not individual. Ensure billing data flows accurately across connected systems and that every team with a dependency on billing data has the visibility they need.

YOUR BACKGROUND THAT LIKELY MAKES YOU A MATCH

  • Quote-to-Cash Expertise: 5+ years of hands-on experience working with billing tools, CPQ platforms, Salesforce, or ERP systems across the quote-to-cash lifecycle. You understand how pricing, quoting, invoicing, and revenue recognition connect.
  • Billing/CPQ Platform Depth: Direct experience administering or deeply configuring billing platforms, CPQ tools (e.g., Salesforce CPQ, DealHub, Ordway, Zuora, Chargebee), or similar systems. You’re a power user who can architect solutions, not just execute within existing configurations.
  • An Owner’s Mentality: You take pride in your work and view what you do as a part-owner and builder of Qualia. You view your business unit’s success as your own.
  • A Problem-Solving Mindset: You anticipate challenges and complications, know when to escalate, and understand what tradeoffs should be made—especially when evaluating system changes and their downstream impacts.
  • An Eye for Operations: You think in systems, not tasks. You instinctively map how a change in one place impacts teams downstream, and you build documentation, monitoring, and enablement to make operations resilient.
  • Technical Aptitude: You are comfortable learning new technologies quickly, understanding how systems integrate, and can scope technical requirements while communicating effectively with both technical and non-technical stakeholders.
  • Project Management Expertise: You can scope a complex project, break it into manageable tasks, and execute against a work plan. You communicate deliverables regularly, avoid preventable emergencies, and always consider enablement.
  • A Drive to Execute: You have a strong desire to drive impact and demonstrate urgency with projects big and small—from quick system fixes to comprehensive platform overhauls.
  • A minimum of 5 years of progressively increasing responsibility in billing operations, deal desk, revenue operations, or strategic finance/finance ops, with demonstrated experience in platform administration and process optimization

PREFERRED QUALIFICATIONS

  • 5+ years in a revenue operations, finance, or deal desk role
  • Experience with Ordway, Zuora, Chargebee, or similar subscription billing platforms
  • Salesforce administration experience or certification
  • Background in environments with complex or non-standard pricing models
  • Experience with data analysis and visualization tools beyond Excel
  • Familiarity with ERP systems and revenue recognition workflows
