THE IDEAL CANDIDATE

As we expand globally, we are seeking a HR & Office Manager to lead and streamline HR & Administrative operations across our international locations, primarily in Greater China (Shenzhen, Shanghai and Hong Kong), with potential expansion into Southeast Asia (supported by an Employer of Record).

 

This role is ideal for a proactive, detail-oriented professional who excels in a fast-paced startup environment. You will:

  • Own end-to-end HR processes, including onboarding, payroll, benefits administration, compliance, and employee records management.
  • Manage office operations, from procurement to facilities oversight.
  • Handle finance-related tasks, such as expense reviews, bookkeeping, reconciliations, and tax compliance.
  • Ensure global consistency and local compliance while adapting processes to a rapidly scaling business.

RESPONSIBILITIES:

  1. Employee Lifecycle Management
    • Handle end-to-end employee onboarding, probation, transfers, adjustments and offboarding processes
      • Send welcome email, collect and verify onboarding documents, set up employee files, and update HR systems.  
      • Coordinate new hire orientation and background checks.  
      • Prepare and manage employment contracts, renewals, and amendments.  
      • Issue termination documents, and process final payroll/social insurance.  
      • Maintain and update employee records in HR systems with high accuracy.  
  2. Payroll & Benefits Administration
    • Collect and verify monthly attendance records (leaves, deductions, overtime, etc.).  
    • Liaise with payroll vendors, provide monthly payroll inputs, tax filings, and review payroll reports.  
    • Assist in social insurance, housing fund (provident fund), and resolve related issues.
  3. Finance Coordination
    • Review employees expense reimbursements, especially Consultants’ timesheets to the finance department.
    • Collaborate with internal and external finance teams for payments (vendors, employee benefits, etc.).  
    • Ensure accuracy in HR-finance cross-data (e.g., payroll costs, benefits expenses).
  4. Office Administration & Vendor Management
    • Assist in organizing employee engagement activities and company events.  
    • Manage office supplies procurement and IT assets (e.g., laptops)., inventory control, and cost and record tracking.  
    • Coordinate with vendors for contracts, pricing, and service evaluations.  
    • Oversee office maintenance, business card printing, and employee badge issuance. 
    • Support ad-hoc HR and administrative tasks as assigned.   

 

REQUIREMENTS:

  • Must-Have:
    • Bachelor’s degree (preferably in HR, Business Administration, or related fields). 
    • 5+ years of HR/administrative experience (familiarity with onboarding, payroll, and compliance). 
    • Proficiency in Excel (VLOOKUP, Pivot Tables), and HRIS.
    • Strong attention to detail and ability to handle confidential data.  
    • Thrives in a fast-paced startup environment with multitasking.
  • Preferred:
    • Knowledge of local labor laws, social insurance, and tax regulations.  
    • Experience working with payroll outsourcing providers or finance teams.  
    • HR certification (e.g., SHRM, PHR) is a plus.  

 

YEAR ONE DELIVERABLES 


HR Operations & Compliance

    • Deliverable: Independently manage end-to-end employee lifecycle processes for Greater China (Shenzhen/Shanghai/Hong Kong) and new SEA markets (Thailand/Indonesia/Bangladesh).
      • New hire onboarding completed within 2 business days.
      • 100% accuracy in employee contracts/records (Zero compliance gaps).
    • Deliverable: Ensure payroll and social insurance/provident fund, and benefits accuracy and timeliness.
      • 0% Monthly payroll error rate.
      • 100% on-time submission of social insurance/housing fund filings/benefits (No penalties).
      • Employee payroll inquiries resolved within <24 hours.

Office & Administrative Efficiency

    • Deliverable: Standardize regional administrative processes (procurement, vendor management, IT assets).
      • Zero loss of IT assets (Implement tracking system).
      • Employee satisfaction with administrative support ≥4.5/5 (Semi-annual survey).
    • Deliverable: Organize at least 4 employee engagement activities (e.g., team-building, festivals).
      • Activity participation rate ≥80%.

Finance Coordination

    • Deliverable: Streamline HR-finance collaboration (expense reviews, cost allocation).
