Chief of Staff / Strategic Executive Assistant
About the Role
We’re looking for a Chief of Staff / Strategic Executive Assistant to partner directly with our founders and help scale the company through its next stage of growth. This is not a traditional Executive Assistant role. You'll be a trusted operator responsible for helping leadership stay focused on the highest-impact priorities while driving execution across the business.
You'll own a mix of executive operations, strategic projects, cross-functional coordination, recruiting support, and company operations. One moment you may be preparing materials for an investor meeting; the next, coordinating an important hiring process, improving an internal workflow, or driving a cross-functional initiative to completion.
You’ll report directly to the Head of Finance & Operations and work closely with the founders and leadership team. This is a unique opportunity to build the operational backbone of a fast-growing AI infrastructure company.
We move quickly, operate with urgency, and expect the same from everyone on the team.
What You'll Own
Executive Partnership
Manage complex calendars, meetings, travel, and shifting priorities for company leadership
Prepare agendas, briefing materials, meeting notes, and follow-up action items to ensure decisions turn into execution
Anticipate bottlenecks, proactively solve scheduling conflicts, and optimize executive time
Handle confidential information with professionalism and sound judgment
Strategic Operations
Drive cross-functional projects that require coordination across engineering, research, recruiting, finance, and operations
Track company priorities, key initiatives, and executive action items to ensure timely execution
Support board meetings, investor updates, leadership offsites, and strategic planning efforts
Research, synthesize information, and prepare presentations, reports, and internal documentation
Recruiting & People Operations
Partner with hiring managers to coordinate executive hiring and other key recruiting efforts
Help deliver an exceptional candidate experience from scheduling through onboarding
Support employee onboarding, internal communications, and company-wide operational initiatives
Assist with planning team events, offsites, and culture-building activities
Company Operations
Identify opportunities to improve internal processes and increase organizational efficiency
Help build scalable operational systems as the company grows
Coordinate with external vendors, partners, and service providers when needed
Take ownership of high-priority special projects that support company growth
Who You Are
Available for a hybrid schedule with 3 days per week onsite at our Palo Alto office
3–7 years of experience as a Chief of Staff, Executive Assistant, Strategic Operations, Program Manager, Management Consultant, or similar role
Bachelor's degree required
Exceptional organizational and project management skills with the ability to manage multiple priorities simultaneously
Excellent written and verbal communication skills
Highly proactive—you identify problems before they become blockers and consistently follow through
Comfortable operating independently in an ambiguous, fast-changing startup environment
Strong business judgment and the ability to handle confidential information with discretion
Experience supporting founders or senior executives at a high-growth technology company is strongly preferred
Low ego, high output—you enjoy rolling up your sleeves and doing whatever is needed to help the company succeed
Integrity-first: we place a high premium on character, trustworthiness, and sound judgment in this role
