About the Role

The Payroll & Benefits Administrator is responsible for the accurate and timely administration of payroll, benefits, contractor payments, and related HR systems. Reporting to the Payroll Manager, this role serves as a key resource for employees, managers, and external vendors, ensuring compliance with federal, state, and local regulations while maintaining the integrity of payroll and benefits data across multiple systems. The position also supports HR technology administration, employee leave programs, compliance reporting, and continuous process improvement initiatives.

Responsibilities 

Payroll Administration

  • Process bi-weekly U.S. hourly payroll using ADP Workforce Now (WFN), ensuring accuracy, timeliness, and compliance with company policies and applicable regulations.
  • Serve as backup processor for semi-monthly U.S. salaried payroll and UK payroll operations.
  • Administer child support orders, garnishments, tax levies, and other payroll deductions.
  • Respond to payroll-related inquiries from employees and management.
  • Coordinate and process verifications of employment with third-party providers.
  • Assist with payroll audits, reconciliations, and year-end activities as needed.

Contractor Administration

  • Manage the full contractor lifecycle, including HRIS recordkeeping, , status changes, renewals, and terminations in ADP WFN for record keeping purposes.
  • Process contractor payments twice monthly through Deel.
  • Serve as primary system administrator for Deel, including user administration, reporting, data integrity, and process optimization.
  • Ensure contractor records remain accurate and compliant with company policies and applicable regulations.

Benefits Administration

  • Assist with the administration of employee benefit programs including medical, dental, vision, life insurance, disability, and other voluntary benefits.
  • Serve as primary owner and administrator of the Benefits Portal within ADP Workforce Now.
  • Configure and manage the annual Open Enrollment process in ADP Workforce Now.
  • Coordinate Evidence of Insurability (EOI) processes for employees electing supplemental life insurance coverage.
  • Manage domestic partner affidavit documentation and eligibility verification.
  • Research and resolve enrollment discrepancies between ADP Workforce Now and benefit carriers/vendors.
  • Troubleshoot and maintain benefit vendor file feeds and integrations.
  • Conduct benefits non-discrimination testing and support annual compliance requirements.
  • Assist employees with benefits questions and enrollment issues.

Compliance & Leave Administration

  • Prepare and distribute annual ACA reporting, including Forms 1095-C and 1094-C.
  • Understand state-mandated leave programs, ensure accurate tracking and work with the appropriate HRBP for related employee communications.
  • Manage medical support order verification requests.
  • Respond to unemployment insurance claims and employment verification requests.
  • Maintain compliance with federal, state, and local payroll and benefits regulations.

Systems Administration Support

  • Maintain data integrity across payroll, benefits, and contractor management systems.
  • Support system implementations, enhancements, testing, and troubleshooting activities.
  • Generate recurring and ad hoc reports for Payroll, HR, Benefits, and Finance stakeholders.
  • Serve as backup system administrator for ADP Workforce Now (WFN) and for UK payroll system (iHCMs) and international payroll system (Deel).

Process Improvement & Special Projects

  • Identify opportunities to improve payroll, benefits, and HR administrative processes through automation and system enhancements.
  • Support special projects as assigned, including SharePoint administration and maintenance of employee-facing payroll, benefits, and HR resource content.
  • Develop and maintain process documentation, training materials, and standard operating procedures.
  • Participate in cross-functional initiatives supporting Payroll, HR, Finance, and Operations.

Qualifications

Required

  • Bachelor's degree in Human Resources, Business Administration, Accounting, Finance, or related field; or equivalent combination of education and experience.
  • 3+ years of payroll and benefits administration experience.
  • Experience processing hourly payroll in ADP Workforce Now across multiple states
  • Experience administering employee benefits programs and vendor relationships.
  • Strong understanding of payroll tax, garnishment, ACA, and benefits compliance requirements.
  • Advanced proficiency with Microsoft Excel and reporting tools.
  • Strong analytical, organizational, and problem-solving skills.
  • Ability to manage confidential information with discretion and professionalism.
  • Excellent written and verbal communication skills.
  • Comfort with change and ambiguity.
  • Good interpersonal skills with demonstrable curiosity and overall positive attitude.

Preferred

  • Experience with Deel contractor management platform.
  • Experience supporting international payroll processes.
  • ADP Workforce Now system administration experience.
  • Experience with HRIS implementations, integrations, and process automation.
  • Certified Payroll Professional (CPP), Fundamental Payroll Certification (FPC), or benefits-related certification.

  • Accurate and timely payroll processing with minimal corrections.
  • High levels of employee satisfaction regarding payroll and benefits support.
  • Successful completion of annual compliance activities including ACA reporting and non-discrimination testing.
  • Accurate maintenance of HRIS, payroll, benefits, and contractor data.
  • Identification and implementation of process improvements that increase efficiency and reduce administrative burden.
