About the Role

We are seeking a detail-oriented Sales Operations Coordinator to join our team. This role focuses on building accurate quotes in Salesforce CPQ and collaborating cross-functionally with Contracts, Legal, and Finance to ensure smooth deal handoffs. We welcome candidates with strong analytics, documentation, and process-optimization experience who can quickly ramp in CPQ—extensive tenured CPQ background is not required. 

This is a 4 month temporary, full time position (40 hours/week).There is potential for an assignment extension, which will be discussed towards the end of the engagement.

Responsibilities 

  • Quote Creation & Delivery 
    • Configure Salesforce CPQ quotes from Sales inputs (products, quantities, term lengths), ensuring line-item subscription ARR is correctly calculated. 
    • Apply standard discount rules based on established rate cards; flag any nonstandard discount requests for approval. 
    • Generate and distribute final quote documents (PDF/Word) to Sales reps within the agreed SLA (typically < 24 business hours). 
  • Cross-Functional Coordination 
    • Liaise with Contracts to confirm that all standard SLAs, T&Cs, and contract language are reflected in each quote as needed. 
    • Work with Legal on any special contract language or exceptions, documenting and routing those items promptly as required. 
    • Partner with Finance to validate billing frequencies, subscription tiers, and revenue details before quote issuance on demand. 
  • Quote Validation & Process Compliance 
    • Conduct detailed reviews of each quote for completeness—verifying product configurations, term selections, and discount accuracy. 
    • Document any manual adjustments or exceptions (e.g., custom discount reasons) in Salesforce. 
  • Documentation & Process Improvement 
    • Author clear, step-by-step operating procedures for CPQ processes, drawing on experience with SOPs and process optimization. 
    • Maintain version control of quote templates and CPQ configuration guides, ensuring the latest standards are always in use. 
    • Identify recurring pain points or process gaps; recommend and help implement small enhancements (e.g., field-level help text in CPQ) to reduce quote errors and accelerate turnaround. 
  • Sales Support & Communication 
    • Serve as a primary CPQ resource for Sales reps—answering questions about bundling rules, term options, and standard discount guidelines. 
    • Provide timely status updates on quote progress, including approvals pending with Contracts, Legal, or Finance. 
    • Escalate critical issues (e.g., missing approvals, pricing mismatches) proactively to Sales Operations leadership. 

 

Qualifications (Required): 

  • Familiarity with Salesforce Revenue Cloud and/or Salesforce CPQ
  • Experience with Gong
  • Proven ability to partner seamlessly with Contracts, Legal, Finance (or comparable teams) to resolve process questions and ensure all stakeholders are aligned. 
  • Demonstrated track record of authoring standard operating procedures and streamlining workflows—ideally reducing cycle times (e.g., as seen with material-creation optimizations). 
  • Strong data-analysis aptitude (e.g., using Excel, Power BI) and high attention to detail, ensuring ≥ 98 % quote-accuracy rates. 
  • Clear, concise written and verbal communication—capable of drafting playbook updates, conveying status to Sales reps, and coordinating multi-department handoffs. 
  • Self-starter who can juggle multiple concurrent quote requests, prioritize by deal size or close date, and ask clarifying questions when needed. 

Qualifications (Preferred): 

  • Comfortable with ARR concepts, contract terms (annual vs. multi-year), and basic billing configurations—able to translate Sales requirements into CPQ‐compatible specs. 
  • Experience leveraging Lean Six Sigma or similar methodologies to reduce process cycle times (e.g., 80 % cycle time reduction on legacy systems). 
  • Familiarity with building dashboards (Power BI or Excel pivot tables) to track process KPIs—such as quote turnaround or error rates. 
  • Experience working in NetSuite, SAP, Oracle, or similar ERP environments—understanding data accuracy and integrity across cross-functional systems. 
  • Prior exposure to K-12 or higher-ed SaaS subscription dynamics, including funding cycles and seasonality.
